Job description
Overview
This role supports a school site by handling front-line clerical tasks and helping with the administration of special academic programs. Working under close supervision, the position provides day-to-day office assistance to school staff, faculty, and leadership while maintaining organized records and supporting student placement and attendance processes. Most of the work is clerical in nature.
Key Duties
- Deliver prompt, accurate, respectful, and empathetic service to internal and external contacts while representing the district professionally.
- Help coordinate and assess special academic programs, including organizing students for testing and related activities.
- Support teachers with attendance tracking in both special programs and regular classrooms, and prepare referrals, supporting documents, and home-visit paperwork.
- Assist with placing new students into special academic programs and share placement information with the relevant classroom teachers.
- Enter assessment details into databases and spreadsheets, including student identifiers, reading assessments, and placement information.
- Prepare student assessment folders, sort them into groups, and file them properly.
- Support the directing teacher with daily attendance tasks for special programs.
- Help with routine classroom and office activities such as gathering supplies, making copies, and preparing report card materials.
- Order, track, and inventory supplies and returned materials as needed.
- Coordinate with the attendance clerk on student entry and withdrawal updates.
- Assist the facilitator with materials for faculty meetings and organize notebooks and documentation for school leadership.
- Maintain designated special program spaces in a clean, orderly, and functional condition.
- Answer phone calls, provide information, take messages, and route them to the appropriate staff members.
- Monitor and patrol assigned areas when required.
- Use office and program equipment such as laminators, copiers, and poster makers.
- Stay current with district technology tools and participate in training to maintain the level of skill needed for the job.
- Ensure information handled as part of the role is accurate and submitted on time.
- Perform additional related duties as assigned.
Minimum Qualifications
A high school diploma or GED is required, along with up to six months of prior office-related experience and/or training, or an equivalent mix of education, training, and experience that demonstrates the knowledge, skills, and abilities needed for the position.
