Job description
Role Overview
This role supports school-based operations under close supervision, with a strong focus on clerical and administrative tasks tied to special school programs. The position helps faculty, staff, and administrators with day-to-day office support, student placement coordination, attendance tracking, and upkeep of program records and work areas.
Key Duties
- Deliver prompt, accurate, courteous, and empathetic service to both internal and external customers while representing OCPS professionally.
- Help coordinate and assess special academic programs, including collecting students and organizing testing groups.
- Support teachers with attendance in special programs and regular classrooms, and prepare referrals, supporting paperwork, and home visit forms.
- Assist in placing new students into special programs and distribute placement copies to the homeroom and directing teacher.
- Enter assessment information into databases and spreadsheets, including student names, teacher assessments, and placement details.
- Create, organize, and file student assessment folders.
- Assist the directing teacher in taking daily attendance for special programs.
- Support teachers with routine classroom and program tasks such as gathering supplies, making copies, and preparing report card documents.
- Order, track, and inventory supplies and materials, including items that are returned.
- Coordinate with the attendance clerk for student entry and withdrawal updates.
- Help prepare meeting materials and organize documentation notebooks for facilitators, principals, and assistant principals.
- Maintain the cleanliness and order of assigned special program rooms and workspaces.
- Answer telephones, share information, route messages, and provide general assistance as needed.
- Monitor and patrol assigned areas when required.
- Operate office and production equipment such as laminators, copiers, and poster makers.
- Stay current with district technology tools and attend training provided by the district to maintain required skill levels.
- Ensure that all information maintained as part of the role is accurate and updated in a timely manner.
Additional Information
This is an entry-level clerical position. Most of the work is administrative in nature. The duties listed are representative rather than exhaustive, and management may assign additional related tasks when appropriate.
Minimum Qualifications
A high school diploma or GED is required. Candidates should also have up to six months of prior office work experience and/or training, or an equivalent mix of education, training, and experience that prepares them to perform the job effectively.
Performance Aptitudes
- Ability to compile, copy, record, and transcribe data following a set format or procedure.
- Comfort working with people to gather information, clarify details, and communicate within established guidelines.
- Capability to operate office equipment, machinery, tools, and related materials.
- Ability to work with reference information and use verbal comprehension effectively.
- Basic math skills, including addition, subtraction, multiplication, and division.
- Ability to follow detailed instructions and routine procedures with limited complexity.
- Good situational judgment in repetitive or short-cycle work governed by standard processes.
ADA / Work Conditions
The job involves light physical effort in a sedentary-to-light work setting, including occasional lifting, carrying, pushing, or pulling of light materials weighing about 5 to 10 pounds. Extended time at a keyboard or workstation may be required. Some duties require visual discrimination and oral communication. Work is generally performed in normal indoor conditions without exposure to significant environmental hazards.
