Job description
About the Role
This position is responsible for overseeing and representing the COO’s office, delivering confidential administrative assistance to a very high standard. The role serves as the main contact for the COO’s Office and contributes to the planning, implementation, and follow-through of departmental strategy.
Core Responsibilities
- Produce administrative reports and analysis, take the lead in shaping and refining policies and procedures, and help explain company rules while resolving admin matters with Finance, Contracts, and Legal teams.
- Support business documentation needs by drafting reports, preparing presentations, and building spreadsheets.
- Plan and organize team workloads, track action items, and report on progress.
- Handle complex administrative issues independently while working within company structures, standards, processes, and tools.
- Improve and supervise existing administrative workflows and information systems to keep operations efficient and well organized.
- Serve as the central point of contact for coordination with internal stakeholders and external contacts across QR Group.
- Respond to questions and information requests by interpreting internal procedures and policies for managers and staff, while helping the team better understand the business environment and organizational setup.
- Coordinate internal and external communication, arrange management meetings, and attend meetings when needed to record minutes.
- Raise significant issues with the COO and support the development of practical solutions.
- Work with the business on organizational strategy matters such as manager transfers, structural changes, and long-term planning.
- Assist with annual departmental budgeting and reporting in coordination with Business Finance, and provide regular budget updates to the COO.
- Coordinate special projects, collect progress updates, and share information with the Line Manager.
- Carry out any other duties needed to support the smooth and effective operation of the unit.
Candidate Profile
- A bachelor’s degree or an equivalent qualification, along with at least 4 years of role-relevant experience.
- Experience in database administration.
- Background in project management.
- Strong interpersonal abilities and effective relationship management skills.
- Client-oriented mindset with solid business understanding and experience interacting with senior leadership.
- Ability to review outgoing documents carefully and maintain a high level of accuracy.
- Capability to draft detailed and accurate reports independently.
- Strong proficiency in Microsoft Word, Excel, and PowerPoint.
- High levels of discretion, sensitivity, and professionalism.
- Good planning ability with excellent attention to detail.
- Self-driven and able to work with little supervision.
- Ability to perform well under pressure and meet defined deadlines.
- Management capability including delegation, clear direction-setting, workflow control, coaching of team members, and fostering teamwork.
