Job description

About the Role

We are looking for an exceptionally organized administrator who excels in a busy, process-oriented environment. The Events Programme Administrator will play a vital role by providing operational support for a range of international events and delivery programs. This position focuses on behind-the-scenes administration, documentation, and coordination rather than on-site event management or delivery. You will be responsible for ensuring smooth management of tracking, communications, and data flow.

Key Responsibilities

  • Manage the central Events inbox by triaging and responding to inquiries from external providers and internal stakeholders.
  • Maintain detailed and precise event documentation, including applications, forms, and tracking spreadsheets. Keep internal calendars and web content updated regularly.
  • Support the administration of digital events platforms by setting up events, managing attendee information, and handling automated communications.
  • Assist daily financial operations such as invoicing, spending tracking, and reconciling accounts post-event.
  • Organize event-related meetings, briefings, and follow-up actions, ensuring all milestones and tasks are monitored.

Required Skills and Experience

  • Proven experience in administrative roles such as business support, program administration, or team coordination.
  • Strong proficiency with Microsoft 365 applications, especially Outlook, Excel, Teams, Forms, and SharePoint, along with the ability to quickly learn new digital tools.
  • Exceptional attention to detail with a track record of accuracy while managing a high volume of administrative duties.
  • Excellent written communication skills and professional phone and email etiquette for handling stakeholder queries.
  • Comfortable managing basic financial tasks including tracking expenses, processing invoices, and reconciliation.
