Job description
Position Overview
We are seeking six motivated and results-driven Registry Clerks to join our team, focused on enhancing revenue collection and tax compliance while adapting to a dynamic professional environment. In this role, you will report to the Registry Supervisor and be responsible for efficiently managing and updating confidential staff files, ensuring timely access and security.
Key Responsibilities
- Safely maintaining taxpayers' and administrative records in filing cabinets, monitoring their movement responsibly.
- Opening, sorting, and classifying new files according to the filing index system.
- Filing correspondence and indexing taxpayer files promptly.
- Appraising files following the records lifecycle using proper documented transmittal lists.
- Helping identify and resolve workflow challenges within the registry under supervision.
- Managing issuance and receipt of files to authorized users from Central Registry.
- Ensuring strict security of the Registry, limiting access appropriately.
- Managing incoming and outgoing mail with correct registers to prevent delays or misdirection.
- Maintaining professional and cooperative relationships with colleagues, superiors, and records users.
- Handling confidential records with the utmost discretion.
- Sorting, collating, and assembling duplicated documents as per instructions for photocopying and binding.
- Operating office equipment such as photocopiers, detachers, book binders, and trimmers.
Minimum Qualifications
- Grade 12 School Certificate or equivalent General Certificate of Education with at least five credits, including Mathematics and English.
- Diploma in Records Management or Library Studies.
- Additional certification in Information Technology or Management/Business studies is advantageous.
- At least one year of relevant post-qualification experience in a records management environment.

- Good organizational and personal management abilities.
- Proactive attitude and ability to meet deadlines.
- Familiarity with registry filing, retrieval, and tracking systems.
