Overview
The Local Office Administrator is responsible for managing the everyday functions of the office to ensure smooth and efficient operations. This role includes coordinating office maintenance, managing supplies, supporting fleet administration, assisting in project coordination, and providing marketing support when needed.
Key Responsibilities
- Manage all aspects of daily office operations including ordering supplies, scheduling equipment maintenance, greeting visitors and vendors, organizing office tours, setting up workstations, and onboarding new employees.
- Promote employee engagement by organizing local office events and training, welcoming new staff, sharing updates on wellness initiatives, recognition programs, and reminders for annual activities like benefits enrollment and engagement surveys.
- Address general office queries such as timesheet concerns.
- Support IT-related tasks including computer replacements, asset inventory management, and recycling outdated equipment.
- Maintain compliance with employment laws by ensuring up-to-date posting of required notices.
- Assist project managers with coordination tasks such as tracking documents, monitoring project status, and preparing reports.
- Provide administrative support for marketing efforts, including formatting presentations and preparing proposals.
- Contribute to the annual budget process related to regional fleet procurement.
- Manage local office fleet administration tasks including reviewing monthly vehicle rental approvals, insurance requests, purchase orders, invoice processing, DOT compliance, vehicle tracking, inspections, registrations, and coordinating maintenance and accessory installations.
- Participate in assessing local office performance metrics including asset utilization, fuel card management, and maintenance compliance.
- Support telematics program administration for vehicles and equipment.
- Adhere strictly to safety protocols, participate in pre-task planning, and report any safety concerns.
- Maintain quality standards across all projects.
- Perform additional duties as assigned.
Qualifications
- High school diploma or equivalent education required.
- At least one year of administrative experience is necessary.
- Possession of a valid driver's license with a record deemed acceptable regarding violations may be mandatory.
