Overview

ACCIONA is hiring for a key support role on the Northland Corridor Warkworth to Te Hana - Ara Tūhono transport infrastructure project in New Zealand. The project is intended to strengthen regional connectivity, improve road safety and contribute to long-term growth and benefits for future generations.

This position offers the chance to join a growing, fast-moving organisation working on a major infrastructure programme. In the role of Executive Assistant & Business Coordinator, you will partner with the Chief Executive Officer and the wider management group to deliver executive assistance, administrative coordination and smooth day-to-day business operations.

You will act as a central coordination hub for leadership support, office administration and business services. The role plays an important part in building an organised, professional workplace as the organisation mobilises and expands.

Responsibilities

  • Provide forward-looking executive assistance to the Chief Executive Officer and general administrative support to the management team.
  • Organise governance activities for the board, committees and leadership group, including scheduling meetings, preparing agendas, recording minutes, tracking actions and supporting reporting requirements.
  • Keep organisational records, registers and company documents accurate, accessible and aligned with internal compliance needs.
  • Look after the organisation’s document library and SharePoint setup, ensuring records are properly controlled, stored and maintained.
  • Oversee office administration, workplace facilities and business support services to maintain an efficient and professional environment.
  • Support onboarding and mobilisation for employees, contractors, consultants and visitors so their experience is smooth and well coordinated.
  • Assist with stakeholder engagement, workshops, project events and internal communication activities.
  • Help improve business processes and contribute to continuous improvement as the organisation develops.

Requirements

  • Previous experience in executive support, governance coordination, office administration or a similar business support role.
  • Strong working knowledge of Microsoft Office 365, including Outlook, Word, Excel, PowerPoint and Teams.
  • Experience with SharePoint or another document and records management platform, with the ability to keep information organised and well controlled.
  • Excellent organisation, communication and stakeholder coordination skills, with the ability to handle multiple priorities, protect confidentiality and deliver strong support in a busy environment.
