Role Overview
The Contracts Administrator plays a vital role in ensuring contract governance and documentation processes are maintained across procurement and supplier agreements. This position supports teams by keeping contract records precise, up to date, and well-organized, facilitating smooth interaction between commercial and operational parties.
Key Responsibilities
- Administer contract documents and manage governance processes for procurement activities, supplier agreements, approvals, and master purchase agreement execution files.
- Maintain comprehensive contract registers, approval logs, correspondence archives, and organized document repositories.
- Monitor status of documents, including approvals, signatures, amendments, and execution prerequisites.
- Coordinate contract documentation collaboratively with procurement, legal, commercial, and supplier teams to ensure accuracy and compliance.
- Assist in preparing contract packages such as appendices, schedules, and execution copies.
- Track critical dates, deliverables, insurance policies, bonds, warranties, and adherence to compliance standards.
- Generate standard reports on contract status regularly.
Candidate Requirements
- Possess between three to eight years of experience in contract administration or procurement document management.
- Exceptional skills in document management, organizational tracking, and maintaining precise records.
- A bachelor's degree in fields related to Procurement, Supply Chain, Engineering, Construction Management, Quantity Surveying, Business, or Law, appropriate to the role.
- Experience within sectors such as construction, real estate, infrastructure, developer-led procurement, or similar capital projects.
- Proficient stakeholder management, a strong understanding of governance, commercial discipline, and capability to maintain thorough procurement documentation.
- Prior exposure to handling supplier agreements, approval records, contract amendments, and execution files.
- Familiarity with maintaining contract registers and procurement documentation systems.
- Experience using contract management software, document control systems, and ERP or procurement platforms.
- Proven ability to collaborate effectively with procurement, legal, commercial, and supplier teams.
