Company Overview
This role supports the Workforce Screening department within the finance sector, focusing on ensuring thorough background checks for employees and contractors prior to their employment start dates.
Work Schedule
This position follows a hybrid schedule: during the initial training month, employees are expected to be onsite four days per week. After training concludes, the onsite requirement shifts to three days weekly. There is a possibility that Corporate Services may move to a four-day onsite week; candidates should confirm their comfort with this potential change before applying.
Role Summary
The Background Screening Representative ensures that all employee and contingent worker background verifications are completed accurately, confidentially, and in compliance with regulatory standards. The role requires collaboration with candidates, internal teams, and third-party screening vendors to manage screening cases, clarify discrepancies, and escalate any adverse findings appropriately.
Primary Responsibilities
- Collaborate with internal departments and job candidates to complete background checks before start dates.
- Maintain compliance by communicating directly with individuals undergoing screening.
- Examine results and address any discrepancies highlighted by third-party vendors.
- Process Requests for Information (RFIs), coordinating with candidates to secure necessary verifications such as employment and education.
- Identify and escalate any adverse or inconsistent findings according to set protocols.
- Redirect adverse reports to senior leadership, Compliance, HR, and Employment Law teams for further examination and resolution.
- Work closely with HR onboarding teams and external vendors to ensure prompt, accurate resolution of screening cases.
Required Qualifications
- At least two years of experience in background screening, human resources, case management, or a related operational role.
- Client-centered mindset with sound judgment and the ability to manage sensitive information confidentially.
- Strong verbal and written communication abilities.
- Capacity to work effectively under pressure, juggling multiple priorities to meet strict deadlines.
- Keen attention to detail and skill in synthesizing data from multiple sources.
- Proficiency in Microsoft Word, Excel, and database systems; familiarity with Workday or Salesforce is advantageous.
- Professionalism and discretion when handling confidential materials.
Preferred Qualifications
- A Bachelor's degree is preferred but not mandatory.
- Experience in Corporate Security, Case Management, or HR roles connected to background screening or onboarding.
- Background in law enforcement, government, or fraud investigation is a plus.
- Knowledge of regulations concerning applicant disqualification and managing adverse findings.
- Understanding of notification, escalation, and dispute resolution protocols related to background checks under applicable laws.
