Position Overview
The Vendor Relationship Manager (VRM) is responsible for managing the complete supplier onboarding process, migrating legacy data, and maintaining master data integrity. This role serves as a pivotal link between internal departments such as Procurement, Funding Analysts, Vendor Managers, Tax Operations, and Legal teams, and external suppliers to ensure accuracy in transactions, adherence to Sarbanes-Oxley (SOX) compliance standards, and timely processing of invoices.
Scope and Key Duties
- Handles the resolution of complex supplier enrollment issues, including legal name changes, mergers, and maintaining data accuracy across global regions (AMER, APAC, EMEA).
- Operates multiple systems including centralized ticketing queues, Master Data Management (MDM) platforms, corporate procurement portals, and contract management tools.
- Follows established company policies to resolve enrollment challenges, prioritizes tickets effectively, manages exceptions, and escalates when necessary.
- Meets strict service level agreements (SLAs) such as urgent requests processed within 20 business days and standard requests within 35 business days.
Primary Responsibilities
- Receive and process supplier enrollment requests that include new registrations, updates, legacy data migrations, and data clean-up through centralized queues.
- Assess supplier profiles to determine correct onboarding pathways, including handling exceptions for certain entities like government or utility providers.
- Assist Supplier Points of Contact (SPOC) with supplier registration, tax documentation, and network profile management.
- Manage legacy vendor data migrations and coordinate re-invitation workflows using internal help desk systems.
- Ensure compliance with data governance, SOX regulations, and tax documentation requirements.
- Coordinate with cross-functional teams and support stakeholders in related processes.
Qualifications and Skills
- Bachelor’s degree (B.S./B.A.) from an accredited university or an equivalent combination of education and experience.
- Strong ability to build constructive working relationships internally and externally.
- Sound judgment within defined guidelines to determine best actions.
- Excellent verbal and written communication skills, along with strong interpersonal and analytical capabilities.
- Ability to communicate effectively with individuals at various organizational levels.
- Capable of performing independently and contributing as a collaborative team member.
- Proficiency with spreadsheets and basic data analytics.
- Exceptional organizational, multitasking, and prioritization skills.
- Keen attention to detail complemented by a strong sense of urgency.
- Consistently meets deadlines and manages responsibilities proactively.
- Self-motivated with the ability to take full ownership of projects and drive them to completion.
Preferred Experience
- Previous experience with telecom or data center cost management is advantageous.
Physical and Work Environment Requirements
- Ability to perform office-related duties including prolonged sitting or standing.
- Capable of moving within the office environment as needed.
- Competent computer user.
- Effective communication skills are mandatory.
- Some roles may require repetitive hand or wrist movements.
Salary Information
The annual base salary ranges from 45,280 to 56,600 EUR. This base pay does not include additional compensation such as performance bonuses, benefits, or other incentives, which are discretionary and subject to eligibility criteria. Placement within this salary range depends on factors like education, experience, certifications, licenses, and other relevant qualifications.
