Role Overview
The People Coordinator plays a vital role within our People Team, managing all administrative movements and personnel records for Assistant Managers (AM) and General Managers (GM). This position ensures accurate data processing through Workday and ServiceNow platforms to maintain compliant and well-performing teams. Your attention to detail safeguards employee processes such as leaves and health referrals while supporting data insights that enhance engagement, retention, and team performance.
Key Duties
- Maintain comprehensive and confidential HR records for AM and GM roles.
- Accurately process employment changes including transfers, promotions, grade and salary adjustments, demotions, and secondments via Workday.
- Monitor and assign HR ServiceNow requests ensuring timely responses aligned with SLAs.
- Manage reference inquiries and process relevant communications.
- Administer various leave schemes including sabbatical, maternity, paternity, parental, and shared parental leave.
- Collaborate with the Senior People Analytics and Systems Manager to supply data for Power BI dashboards.
- Fulfill data and report requests from HR and other teams (Safety, Payroll, Benefits, Recruitment).
- Upload all HR documentation onto Workday and Planet Pret systems as necessary.
- Conduct exit interviews and generate monthly analytics reports to guide HR decision-making.
- Support pay review communications and periodic audits of employee files.
- Coordinate gift ordering for maternity and paternity celebrations.
- Manage inbox communications, escalating issues appropriately to People Advisors.
- Assist shop-level People initiatives through direct communication and data collection.
- Raise purchase orders within NetSuite for procurement needs.
Required Experience and Skills
- Proficient in Microsoft Office Suite, especially intermediate to advanced Excel skills including data manipulation and pivot tables.
- Competent in creating and editing documents and presentations using Word and PowerPoint.
- Strong capability in confidential data handling and accurate record-keeping.
- Basic abilities in extracting and interpreting HR data for reporting purposes.
- Familiarity with uploading HR documents into systems such as Workday and Planet Pret.
- Comfortable using multiple IT platforms and basic troubleshooting.
Preferred Qualifications
- Experience with Power BI for dashboard creation and data analysis interpretation.
- Understanding of HR analytics including employee turnover and engagement metrics.
- Advanced Excel knowledge such as complex formulas and data modelling.
- Fundamental understanding of Employment Law and HR compliance.
- Experience using purchase order systems like NetSuite.

Recruitment Process
