Role Overview

The Support Services Specialist plays a key role in backing the logistical and administrative aspects of Public Programs within the Education Department.

Key Duties

  • Manage diverse administrative functions crucial to executing the Public Programs series.
  • Assist with organizing program coordination, including scheduling meetings, taking minutes, and distributing information efficiently.
  • Maintain updated records on required personnel, equipment, and facility usage for program operations under guidance.
  • Conduct foundational content and logistical research to support program activities; help draft, edit, and compile program materials.
  • Input and manage data in databases and tracking tools; contribute to preparation of materials and presentations to inform staff and stakeholders about program progress.
  • Handle routine public inquiries on program details and escalate complex questions to appropriate personnel; aid in internal communications through organizing and circulating information.
  • Prepare and scrutinize outgoing correspondence ensuring accuracy, proper format, and policy compliance.
  • Support procurement and budgeting functions, including researching resources, gathering pricing, and assisting in purchasing processes.

Qualifications & Conditions

  • Applicants must have career or career-conditional status or be eligible for it.
