Position Summary

This role involves assisting customers and managing various administrative tasks within the Assessor's Office related to property records and public inquiries.

Key Responsibilities

  • Maintain records of property transfers including receiving and stamping deeds, logging processed deeds, coordinating property splits with mapping staff, mailing necessary documentation, and compiling sales reports accessible to the public.
  • Input and verify accurate property and parcel data into computer systems.
  • Prepare and dispatch courtesy tax bills to new property owners.
  • Compute and assemble rollback tax data for audit purposes.
  • Provide in-person and telephonic assistance to the public regarding parcel details such as numbers, addresses, size, location, appraised values, legal residence, agricultural use, and manufactured homes.
  • Support appraisers and mappers in their tasks.
  • Manage deeds and conduct legal residence verifications.
  • Flexibly cross-train to support various departmental functions independently and with motivation.
  • Collect payments, issue receipts, and process mailing address updates as requested by property owners.
  • Assist the public with Geographic Information System (GIS) tools and map retrieval.
  • Issue mobile home and moving permits, including fee and tax collection along with receipt issuance.
  • Carry out additional related duties as assigned.

Required Knowledge and Skills

  • Understanding of departmental policies and operational procedures.
  • Familiarity with real estate documents including deeds, plats, and sales contracts.
  • Aptitude for interpreting maps and deed details.
  • Competency in basic mathematical calculations.
  • Proficiency with computers and standard office equipment.
  • Effective communication skills, both oral and written, and ability to interact well with the public.

Minimum Qualifications

  • Reading, writing, and mathematical skills at least equivalent to a high school diploma or GED.
  • Experience level comparable to completion of an apprenticeship/internship or one to two years in a similar administrative role.

Physical Demands and Work Environment

Predominantly desk-based work with occasional standing, bending, crouching, or stooping; occasional lifting of light to heavy items may be required. The environment is a standard office setting.

Employees must adhere to all workplace safety policies and procedures, wear and maintain required personal protective equipment, promptly report unsafe conditions or incidents, and complete safety training as directed.
