Position Summary
This role involves assisting customers and managing various administrative tasks within the Assessor's Office related to property records and public inquiries.
Key Responsibilities
- Maintain records of property transfers including receiving and stamping deeds, logging processed deeds, coordinating property splits with mapping staff, mailing necessary documentation, and compiling sales reports accessible to the public.
- Input and verify accurate property and parcel data into computer systems.
- Prepare and dispatch courtesy tax bills to new property owners.
- Compute and assemble rollback tax data for audit purposes.
- Provide in-person and telephonic assistance to the public regarding parcel details such as numbers, addresses, size, location, appraised values, legal residence, agricultural use, and manufactured homes.
- Support appraisers and mappers in their tasks.
- Manage deeds and conduct legal residence verifications.
- Flexibly cross-train to support various departmental functions independently and with motivation.
- Collect payments, issue receipts, and process mailing address updates as requested by property owners.
- Assist the public with Geographic Information System (GIS) tools and map retrieval.
- Issue mobile home and moving permits, including fee and tax collection along with receipt issuance.
- Carry out additional related duties as assigned.
Required Knowledge and Skills
- Understanding of departmental policies and operational procedures.
- Familiarity with real estate documents including deeds, plats, and sales contracts.
- Aptitude for interpreting maps and deed details.
- Competency in basic mathematical calculations.
- Proficiency with computers and standard office equipment.
- Effective communication skills, both oral and written, and ability to interact well with the public.
Minimum Qualifications
- Reading, writing, and mathematical skills at least equivalent to a high school diploma or GED.
- Experience level comparable to completion of an apprenticeship/internship or one to two years in a similar administrative role.
Physical Demands and Work Environment
Predominantly desk-based work with occasional standing, bending, crouching, or stooping; occasional lifting of light to heavy items may be required. The environment is a standard office setting.
