Role Overview
The Senior Executive Assistant will act as a dependable collaborator with senior leaders within the Branding & Innovation division, delivering high-quality administrative and project-related support in a dynamic and visible environment. This includes managing complex calendars, travel arrangements, communications, expenses, meetings, and special projects while anticipating executive requirements to ensure priorities are handled efficiently and professionally.
Additionally, the role promotes team culture and engagement by organizing events, onboarding processes, internal communications, and office operations. This position requires discretion, sound judgment, meticulous attention to detail, and the ability to multitask effectively.
Key Responsibilities
- Oversee all executive support duties including intricate calendar management, coordination via Teams, expense submissions, and handling routine inquiries.
- Manage Outlook calendars with frequent adjustments and confirmations of internal/external meetings and appointments.
- Arrange domestic and international business travel including flights, accommodations, itinerary planning, ground transportation, and visa processing.
- Create and revise written materials such as memos, agendas, presentations, and executive communications.
- Conduct necessary research and compile information for meetings and strategic projects.
- Keep accurate contact databases and critical executive information up to date.
- Organize logistics for meetings and events including scheduling, room bookings, technology setup, and attendee coordination.
- Support new hire onboarding by ensuring access to necessary communication channels and resources prior to start date.
- Submit and monitor team expense reports promptly.
- Handle confidential matters sensitively while managing multiple competing priorities and driving project completion.
- Manage a variety of executive priorities encompassing confidential business and personal issues with utmost discretion.
- Execute additional tasks and special projects as assigned.
Departmental Responsibilities
- Lead the Culture Committee by planning and implementing team events such as holiday celebrations, corporate gatherings, team dinners, and all-hands meetings.
- Coordinate weekly team catering and manage meal logistics to foster employee engagement and in-person collaboration.
- Keep the team updated on company announcements, strategic developments, and organizational messages.
Special Project Support
- Assist with onboarding new Board of Directors members, acting as a liaison between executive leadership and internal stakeholders.
- Manage executive scheduling and arrangements for fashion shows, industry events, and other high-profile occasions.
- Collaborate with the Public Relations department on gifting initiatives and logistics involving media, editors, and VIP guests.
Qualifications & Skills
- Demonstrated experience supporting executives or providing administrative assistance in fast-moving, high-volume environments.
- Exceptional organizational abilities, keen attention to detail, and consistent follow-through managing multiple tasks simultaneously.
- Strong problem-solving aptitude with the foresight to anticipate needs and the flexibility to handle shifting priorities.
- Excellent interpersonal and communication skills, adept at building relationships across various teams and organizational levels.
- Highly proactive, resourceful, and focused on solutions, with a track record of initiative and task completion.
- Ability to perform well under pressure, maintain confidentiality, and meet critical deadlines.
- Results-driven with accountability and ownership over assigned duties.
- Advanced knowledge of Microsoft Office applications including Outlook, PowerPoint, Word, and Excel; experience with Concur, Workday, Ariba, or comparable business software is advantageous.
- Must be available to work onsite at least three days weekly, with flexibility to increase presence during essential business activities, events, and meetings involving senior leadership.
Compensation
The salary range for this position is between $80,000 and $140,000 per year.
