About Airport Development Group and Program Alkina

Airport Development Group (ADG) is responsible for owning and managing airports throughout the Northern Territory, facilitating community connections, fostering industry support, and driving economic growth in Northern Australia. Currently, ADG is advancing Program Alkina, a transformative initiative involving organizational redesign, implementation of an Enterprise Resource Planning (ERP) system, refinement of business processes, and development of enterprise-wide document governance structures.

Role Overview

We are seeking a skilled Program Coordinator to join our transformation team on a fixed-term contract through June 2027. This role is vital to the success of Program Alkina, offering coordination and support across multiple workstreams to ensure alignment of activities, effective risk management, and achievement of key deliverables. The position demands exceptional organizational skills, stakeholder engagement expertise, and the competence to prioritize effectively within a dynamic environment.

Key Responsibilities

  • Organize and facilitate program meetings, steering committees, working groups, and workshops.
  • Monitor and follow up on actions, decisions, risks, issues, and dependencies with timely escalation where necessary.
  • Support workshops and decision-making processes to clarify and realize business requirements.
  • Assist in developing, reviewing, and validating business processes, procedures, and documentation.
  • Provide daily coordination support across various transformation workstreams.
  • Manage communication efforts by developing and distributing program updates to ADG employees.
  • Support stakeholder engagement through mapping, tracking, and addressing change impacts.
  • Coordinate collaboration among program teams, senior leadership, steering committees, and external vendors.
  • Maintain governance frameworks, compliance with reporting standards, and consistent use of program documentation templates.
  • Manage risk and issue registers, including oversight of mitigation actions and deadlines.
  • Participate in risk reviews and promote continuous governance improvements.
  • Maintain centralized, version-controlled program document repositories adhering to governance and security standards.
  • Contribute to enterprise document governance process development and promote information management best practices.
  • Advocate positively for Program Alkina and assist with change management communications and adoption.
  • Support safety culture by identifying risks, complying with ADG policies on safety, risk, compliance, and cybersecurity.

Essential Qualifications and Experience

  • Background supporting large-scale transformation programs or complex projects.
  • Excellent organizational and time-management abilities with keen attention to detail.
  • Proficient with project management and collaboration platforms such as Microsoft Project, Azure DevOps, SharePoint, and Microsoft Teams.
  • Strong written and verbal communication skills.
  • Experience engaging stakeholders and managing relationships effectively.

Desirable Skills and Experience

  • Experience supporting ERP implementations (e.g., TechnologyOne, Infor, SAP).
  • Familiarity with organizational transformation, change management, or process improvement.
  • Understanding of governance frameworks, compliance policies, and standards.
  • Experience in infrastructure, aviation, transport, or operational settings.
