Role overview
This position supports day-to-day office administration and secretarial operations across one or more administrative areas. The role involves keeping office services running smoothly, coordinating with internal teams and external vendors, and handling a range of routine and ad hoc office support tasks.
Key duties
- Manage utility bill payments, office equipment, and vehicle-related administration.
- Track office stationery, supplies, and IT equipment, including inventory and upkeep.
- Handle invoice logging and collection activities, along with receipt and delivery coordination.
- Maintain attendance records and support attendance-related administration.
- Support the Administration Manager with housing arrangements, supplier coordination, business travel planning, and visa processing.
- Draft, revise, and carry out administrative contracts in English.
- Assist in planning and running team-building activities.
- Oversee recurring vehicle servicing needs such as annual inspections, tyre replacement, and related maintenance.
- Take on other temporary duties as assigned.
Requirements
- Minimum 3 years of relevant experience in an administrative staff or procurement officer role, with the ability to independently manage administrative processes.
- Strong command of Microsoft Office tools, with advanced Excel skills preferred.
- Valid driving licence and practical driving ability are an advantage.
- Excellent spoken and written English is mandatory.
- Ability to speak Chinese is preferred.
