Job description
Position Overview
The Medical Office Assistant is a vital member of the Integrated Health Services team, responsible for delivering a wide range of administrative and support tasks across all reception areas. This role includes managing reception duties, handling phone and in-person appointment scheduling, as well as maintaining medical records. The Medical Office Assistant also acts as a key resource for clients, providing information about the Centre's services to promote client engagement and access. Flexibility to work across different reception areas is essential to maintain smooth operations and coverage.
Reporting Structure
This role reports directly to the Team Lead of Integrated Health Services Medical Office Assistants, with accountability extending to the Director of Integrated Health Services and ultimately the Chief Executive Officer.
Required Qualifications and Experience
- Minimum education: High school diploma or equivalent
- Additional certification or diploma in medical office administration, business administration, or similar field is advantageous
- Advanced proficiency in French (oral expression, oral and reading comprehension) and fluency in English (spoken and written) as per the Centre's French Language Services designation
- Two to five years of clerical experience, preferably within healthcare
- Experience working with diverse populations, including youth, street-involved individuals, persons with mental health or substance use challenges, and those experiencing homelessness or vulnerability
- Familiarity with Electronic Medical Records (EMR) systems

Compensation and Benefits
The salary range for this full-time position is $42,588 to $49,613 annually, accompanied by benefits such as four weeks of vacation (pro-rated by status), enrollment in the Health Care of Ontario Pension Plan (HOOPP), and comprehensive group insurance coverage.
Working Conditions
Work hours will be established collaboratively with the successful candidate to promote a healthy work-life balance, considering the Centre’s operational hours and program needs. Some evening shifts may be required.
