Job description

Role Overview

This is a part-time contract opportunity offering approximately 20 hours or 3 days per week, initially through August 2027 with potential for extension. The Coordinator will provide administrative and operational assistance to the Talent & Culture team, focusing on HR documentation, employee lifecycle tracking, and routine HR operations.

Key Responsibilities

  • Create, format, proofread, and maintain a variety of HR documents such as offer letters, contracts, and internal communications.
  • Collaborate with the Manager of Talent & Culture to finalize administrative checklists for onboarding, offboarding, and employee transfers.
  • Perform data entry and upkeep within HR information systems and shared databases.
  • Manage the Paid Time Off (PTO) program via the HRIS, resolving any user issues.
  • Keep HR tracking systems updated to ensure timely completion of activities.
  • Maintain HR calendars, reminders, and oversee recurring compliance deadlines.
  • Coordinate scheduling for interviews, onboarding sessions, check-ins, and other Talent & Culture events.
  • Assist with employee engagement initiatives, recognition programs, and company events.
  • Support employee survey administration and aggregate feedback results.
  • Help maintain onboarding materials, resources for new hires, and departmental guides.
  • Provide professional, courteous responses to general HR inquiries from employees.
  • Monitor shared HR inboxes, directing inquiries to appropriate team members.
  • Track and ensure completion of Talent & Culture activities including performance reviews, enrollments, and compliance tasks.
  • Organize and enhance digital HR filing systems and directories.
  • Conduct regular audits of HR records and trackers to verify accuracy and completeness.
  • Support administrative projects and process improvements for the Talent & Culture team.
  • Generate reports and provide additional administrative support as needed.

Qualifications

  • Associate's or Bachelor's degree in Human Resources, Business Administration, or related discipline is preferred.
  • Between 2 to 4 years of experience in administrative, HR, or office support roles.
  • Strong skills in Microsoft Office Suite, SharePoint, and document management systems.
  • Excellent organizational abilities and meticulous attention to detail.
  • Capable of managing confidential information with professionalism and discretion.

Working Conditions and Additional Information

  • The workforce is home-based with this position primarily remote, requiring a reliable high-speed internet and a professional workspace.
  • Periodic onsite presence is expected, including travel to industry events, team meetings, and company gatherings.
  • Job duties may involve prolonged sitting, extensive computer and phone work, and interaction with multiple internal and external stakeholders.
  • Occasional lifting of heavy boxes up to 40 pounds may be necessary, especially around event setups.
