About the Role

We are looking for a well-organized and proactive Maintenance Administrator to support the resort's Maintenance Department. This position involves coordinating day-to-day maintenance activities, working closely with contractors, suppliers and internal teams to ensure efficient operations that enhance guest experiences.
Key Responsibilities
- Oversee work orders, purchase orders, supplier quotations, and contractor engagements to ensure smooth maintenance processes.
- Maintain accurate records including maintenance databases, contractor registers, and departmental documentation.
- Handle invoice processing, assist accounts payable functions, and address supplier inquiries promptly.
- Support preventative maintenance programs, room refurbishment initiatives, and administration of capital works projects.
- Coordinate contractor onboarding, inductions, and ensure compliance with safety and regulatory standards.
- Prepare month-end financial reports, analyse data, and generate business insights to aid decision making.
- Collaborate with internal stakeholders and external suppliers to complete maintenance works efficiently with minimum disruption.
- Contribute to health, safety, environmental and compliance efforts within the department.
Qualifications & Experience
- Proven administration experience within maintenance, property management, hospitality, construction, or related operational settings.
- Familiarity with accounts payable processes, supplier management, invoice handling, and contract administration.
- Strong proficiency in MS Office, especially Excel for data analysis and report creation, along with experience using PMS-Opera, Inform maintenance software, SAP finance systems, and Donsafe for health and safety management.
- Excellent organizational skills with meticulous attention to detail and effective time management.
- Self-motivated with the ability to work independently and take initiative.
- Strong communicator with demonstrated stakeholder management and collaborative team skills.
- Capable of prioritizing multiple tasks, problem solving, and supporting a customer-focused work environment.

- This is a permanent full-time position, Monday to Friday.
- Salary package of $59,500 per annum plus 12% superannuation.
