Overview
Jamie Patricof, a film producer and media entrepreneur based in Los Angeles, is seeking a highly organized and tech-savvy Executive Assistant to provide critical support across his dual ventures: Jamie's List, a media platform featuring newsletters, podcasts, and live events; and Hunting Lane, his production company focusing on film, television, and documentaries. This role demands acute attention to detail, exceptional discretion, and the flexibility to manage a dynamic workload in a high-trust environment. It serves as a springboard for those aiming to commit 2-3 years before advancing into leadership roles within either company.
Key Responsibilities
- Maintain and dynamically manage Jamie Patricof's calendar, ensuring that meetings, calls, and appointments are scheduled, confirmed, and adjusted as priorities evolve.
- Act as a polished, professional point of contact for business partners, executives, press, agents, and office staff, maintaining warm and confidential communication.
- Support all facets of Jamie's List, including scheduling, coordination, partner communications, and administrative tasks to ensure smooth operations.
- Assist with project coordination on Hunting Lane's film and TV productions, from development activities such as submissions and script organization to production support like call sheet distribution and feedback management.
- Organize inboxes, documents, contacts, and shared trackers; prepare correspondence and materials requiring signature to maintain systematized records.
- Plan, arrange, and book complex domestic and international travel including flights, accommodations, transportation, and key dining reservations, developing detailed trip itineraries and curated "food grids." Coordinate closely with the family assistant to ensure seamless travel logistics when family members are involved.
- Coordinate event planning and execution for political gatherings, live podcast recordings, cocktail parties, and other functions.
- Manage financial and administrative tasks such as handling American Express and banking accounts, generating reports, tracking and categorizing expenses, and collaborating with accountants.
- Conduct research, compare pricing, and gather vendor quotes promptly to facilitate informed decision-making.
- Adapt seamlessly to a fast-paced and evolving workday, reprioritizing tasks calmly as changes occur, with an emphasis on accuracy and attention to detail.
- Maintain open, effective communication with the family assistant to ensure smooth operational handoffs.
Required Qualifications and Skills
- Two to three years' experience as an Executive Assistant, coordinator, or assistant, preferably within a talent agency, management firm, media company, political campaign, newsroom, event organization, or music tour setting.
- Proficiency with AI tools, Google Workspace (Calendar, Docs, Sheets), Airtable, Zoom, and travel booking platforms, with quick adaptability to new technologies.
- Robust travel planning and calendar management skills demonstrated by practical experience.
- Strong communication abilities, both written and verbal, coupled with sound judgment and discretion.
- Broad interests and cultural fluency spanning politics, entertainment, food, music, social issues, and pop culture, with regular engagement in diverse media sources.
- A personable, diligent, curious, loyal, and team-oriented mindset with a positive attitude is essential.
Work Conditions and Compensation
- Full-time, in-office role located in Los Angeles, Monday through Friday from 9 AM to 6 PM, with flexible scheduling for occasional early/late hours or weekend work related to travel and production demands.
- Salary range of $50,000 to $65,000 annually depending on experience, along with benefits, paid time off, and a performance-linked year-end bonus.
- Expected commitment of 2-3 years, after which a growth pathway into roles such as Chief of Staff or other leadership positions within Jamie's List or Hunting Lane may be available.
