Job Overview
We are seeking an experienced IBDP Coordinator to commence in August 2026, responsible for managing all facets of the International Baccalaureate Diploma Programme at the school.
Key Responsibilities
- Oversee all administrative functions of the IBDP program, ensuring strict adherence to IBO guidelines and deadlines.
- Maintain comprehensive records of IB publications and correspondence, including forms, reports, and communications with the IBO.
- Coordinate all IB-related activities and liaise with timetable coordinators to fulfill IB scheduling requirements.
- Communicate financial aspects with the accounts department regarding IB payments.
- Keep school leadership consistently updated on IB program developments.
- Serve as the main liaison between school staff, students, parents, administration, and the IBO, managing all related communications.
- Understand and strictly follow all IB procedures as listed in the official Handbook.
- Contribute to marketing initiatives promoting the IB program within the school community and externally.
- Provide detailed information on the IB program to students and parents, ensuring clarity on aims, requirements, and performance.
- Organize and facilitate parent meetings throughout the academic year and advise families of students in grades 8, 9, and 10 on IB preparation.
- Manage student selection and placement in the program, including meeting prospective students and parents and managing transfer student integration.
- Maintain accurate student records and ensure compliance with IB exam and program requirements.
- Monitor student progress and collaborate with IB staff and tutors for any necessary academic or personal adjustments.
- Inform candidates about IB examination procedures and available services such as early results and inquiries.
- Work alongside counselors to provide guidance on future studies, careers, scholarships, and ensure relevant documentation is sent to universities.
- Collect, analyze, and distribute exam results to school leadership, staff, and GEMS officials as required, including during summer.
- Support IB teachers by establishing internal calendars for workload management, analyzing exams, organizing professional development, and facilitating regular staff meetings.
- Ensure all IB staff have access to up-to-date IB resources and adhere to IB regulations.
- Coordinate participation of staff in IB workshops and integration of new staff.
- Supervise teaching of externally taught and self-taught languages, and collaborate with TOK and CAS supervisors to administer their programs effectively.
- Oversee administration of IB assessments, including Extended Essays, exams, orals, and mock tests; ensure proper conduct and distribution of official IB certificates and diplomas.
- Manage the IB program budget and ensure availability of necessary textbooks, resources, and facilities; coordinate with the librarian on relevant materials.
- Undertake a teaching assignment of two IB courses.

- Possess a relevant teaching qualification; a master’s degree is preferred.
