About the Role
This is an excellent opportunity to join a major utility client based in Melbourne CBD as a Project Analyst on a 12-month contract. The role supports a large core system replacement and migration project moving from an Oracle technology stack to Salesforce for a complex, integrated Customer Relationship Management (CRM) application. This system integrates with over 20 internal and external systems and manages more than 10,000 land development applications annually.
Key Responsibilities
- Assist the Senior Project Manager and principal project team members with coordination, scheduling, milestone tracking, and follow-up across six distinct delivery workstreams.
- Create, update, and maintain project milestone dashboards, plans, timelines, and other delivery documentation.
- Monitor and track project action items, deadlines, and status reports; proactively engage owners to ensure data is current ahead of meetings and reporting deadlines.
- Support daily stand-ups and meetings to keep Jira-based task lists up to date, actionable, and aligned with leadership needs.
- Accurately document meeting notes with attention to detail, capturing actions with assigned owners, due dates, and sufficient context for follow-up.
- Maintain and configure internal and external SharePoint sites, Jira boards, and Confluence spaces, managing permissions, access, and document organization.
- Prepare governance and reporting packages including status updates, action summaries, RAID logs, milestone tracking, and executive commentary for management review.
- Coordinate vendor onboarding and offboarding activities such as access requests, document management, contact lists, and compliance requirements.
Requirements
- Proven experience supporting enterprise system replacements, particularly CRM transformations involving Salesforce, Oracle migration, integration, data migration, testing, or digital transformation programs.
- Demonstrated project coordination or administration experience within complex business, technology, or transformation environments.
- Strong organizational skills for maintaining schedules, registers, logs, dashboards, and reporting artifacts with high accuracy and minimal rework.
- Exceptional meeting coordination skills including agenda planning, document preparation, detailed minutes, action tracking, and owner follow-up.
- Familiarity with collaboration and delivery tools such as SharePoint, Jira, and Confluence, with the ability to manage access permissions and organize relevant documentation.
- Excellent written communication skills and attention to detail to produce concise and accurate documentation under deadlines.
