Job description
Role Overview
The Associate in Event Management Support plays a crucial role in assisting the Event & Venue Management (EVM) team by transforming venue plans into actionable operations across a cluster of venues in Los Angeles prior to and during the Games. This position involves creating and maintaining presentations, briefing documents, status reports, and task lists that ensure smooth progress of venue deliverables. During the Games, the Associate is responsible for managing the Venue Operations Center (VOC), serving as the operational nexus of the cluster to coordinate teams and activities.
Key Responsibilities
- Develop and update presentations, briefing notes, and meeting agendas to clearly communicate the status and needs of EVM cluster deliverables.
- Organize meeting schedules and drive follow-up activities to ensure commitments are fulfilled and tracked.
- Maintain accurate status reports, deliverable trackers, and task lists to provide a cohesive view of venue progress.
- Collaborate with venue personnel, functional groups, and vendors to identify and resolve conflicting priorities promptly to avoid impact on delivery timelines.
- Oversee the Venue Operations Center during the Games, ensuring it remains functional, organized, and presentable as the cluster coordination hub.
Required Skills and Experience
- At least 2 years of experience in project coordination, data management, or operational support, preferably in dynamic event, sports, or complex organizational environments.
- Exceptional attention to detail with strong organizational, operational, and program implementation capabilities.
- Effective communication, teamwork, and interpersonal skills enabling cooperation with diverse groups and stakeholders.
- Demonstrated ability to manage conflicts and negotiate solutions across teams with varying priorities.
Preferred Background
- Experience in event planning or managing venue operations for large-scale, high-pressure events such as the Olympic or Paralympic Games.
- Skilled in preparing executive-level presentations and briefing packages for senior leaders.
- Familiarity with tools and software for project tracking, schedule management, and task monitoring.
Work Environment and Physical Requirements
- Position requires working onsite at the Downtown Los Angeles office, primarily in an open-plan office environment.
- Extended periods using computers, phones, and office equipment will be necessary.
- Flexible work hours including possible evenings, weekends, and holidays, especially during peak event periods.
- Availability to work five days per week onsite.
- Ability to travel occasionally to different venues within or beyond the Greater Los Angeles area.
- The role responsibilities may evolve over time, including operational duties during the Olympic and Paralympic Games.
Compensation and Other Details
- Compensation is hourly with an expected range of $30.29 to $35.00.
- No relocation support is provided; candidates must be able to work onsite in Los Angeles.
