Role Overview

Mass Markets is hiring a highly organized and detail-focused Virtual Executive Assistant to support senior leadership in a remote setting. The role centers on keeping executive operations running smoothly by managing demanding calendars, arranging travel, handling communications, and completing a wide range of administrative tasks. The position also involves coordinating meetings, assisting with project-related work, and supporting sensitive matters with professionalism and discretion. This is a flexible remote opportunity for someone who thrives in a fast-moving environment and can help improve day-to-day efficiency.

Responsibilities

  • Maintain and coordinate complex executive calendars and schedules.
  • Arrange meeting logistics, travel plans, and event coordination.
  • Provide broad administrative support such as data entry, record filing, and written correspondence.
  • Treat confidential and sensitive information with strict discretion.
  • Help prepare reports, presentations, and supporting documents.
  • Screen incoming calls and manage communication channels efficiently.
  • Track expenses, bills, and related reporting.
  • Plan meetings end to end, including agendas and follow-up actions.
  • Assist with errands, procurement, and logistics tasks when needed.
  • Monitor action items and ensure follow-through on commitments.
  • Support project management work and, when required, provide assistance at a Chief of Staff level.
  • Contribute to special initiatives and operational improvement efforts.

Requirements

  • Prior experience as an Executive Assistant or Personal Assistant, ideally in a BPO or similar environment.
  • Strong written and spoken English communication skills.
  • Ability to manage confidential matters with professionalism and integrity.
  • Comfort using office management systems and standard administrative procedures.
  • Solid working knowledge of MS Office tools, including Excel, PowerPoint, and Word.
  • Excellent time management, prioritization, and multitasking abilities.
  • Strong attention to detail and practical problem-solving skills.
  • Good interpersonal and communication skills.
  • A reliable high-speed internet connection with at least 20 Mbps download speed.
  • Availability to work the specified schedule: Monday, Tuesday, and Friday from 2 pm to 10 pm EST, and Saturday and Sunday from 10 am to 7 pm EST.
  • Willingness to complete background screening, security checks, and drug testing if required.
  • Legal authorization to work in the relevant country.
