Role Overview
Are you detail-focused, highly organized, and eager to advance your administrative career within a fast-paced trading environment? This junior Team Assistant position offers exposure to Global Markets operations in Sydney, working closely alongside a Senior Executive Assistant. The role involves comprehensive support to a large, dynamic team and hands-on experience across varied administrative tasks and stakeholder coordination.
Key Responsibilities
- Coordinate travel bookings and facilitate expense processing and reconciliation.
- Manage diaries including scheduling meetings, conference calls, and internal events.
- Help organize client events, roadshows, and investor lunches.
- Process invoices and handle brokerage and other expense-related administration.
- Assist with onboarding and offboarding including access requests, IT coordination, and setting up office spaces.
- Provide general administrative support, including preparing documents and formatting presentations.
- Organize team meetings and liaise with offshore colleagues.
- Support internal Global Markets ANZ event coordination.
- Serve as a contact point for general administrative enquiries within the team.
- Offer ad-hoc assistance to the Senior Executive Assistant as necessary.
Candidate Profile
- Possess 1–2 years of experience in administrative roles; financial services experience is advantageous but not mandatory.
- Exhibit strong communication capabilities and a readiness to learn.
- Demonstrate excellent organizational skills and meticulous attention to detail.
- Be proactive, dependable, and able to multitask effectively.
- Adapt comfortably to a dynamic, fast-paced workplace.
- Hold basic to intermediate proficiency in Microsoft Outlook, Excel, Word, and PowerPoint.
- Experience with Concur Travel Management is beneficial but not essential.
- Maintain a positive, team-focused mindset.
- Show curiosity about applying artificial intelligence to enhance workflow efficiency, ensuring adherence to policies, risk standards, and ethical norms through sound judgment.
