About the role

Nift is a 50-person, cash-flow-positive business that is growing quickly and expects to make several hundred hires in the next phase of expansion. Supporting that level of hiring requires a dependable recruiting engine built on strong systems, clear processes, and disciplined operations.

In this role, you will help create and maintain that engine. Working closely with the Talent Acquisition Lead, you will serve as the operational center of recruiting by turning hiring strategy into repeatable workflows, reliable reporting, and strong Greenhouse practices that can support the next 200–300 hires.

This position is focused on operations rather than basic scheduling. The team is looking for someone who can execute flawlessly today while also identifying ways to improve and scale the process for tomorrow.

Core responsibilities

  • Partner with the Talent Acquisition Lead to build the recruiting processes, standards, and workflows needed to scale hiring from a small team to a much larger organization.
  • Spot bottlenecks, inefficiencies, and weak points in the hiring process, then design practical improvements.
  • Create documentation and operational practices that make strong hiring consistent and not dependent on any single person.
  • Manage Greenhouse as the main recruiting system, including setup, structure, data quality, and overall process discipline.
  • Keep applicant tracking data accurate and up to date so reporting and hiring decisions are based on dependable information.
  • Prepare weekly, monthly, and quarterly KPI and OKR reports and highlight meaningful trends for the team.
  • Coordinate activity across the recruiting pipeline for all departments and stages so searches move forward smoothly and stay on track.
  • Organize interviews between hiring managers, interview panels, and candidates without missed handoffs or delays.
  • Track hiring priorities against benchmarks and metrics to help meet business goals.
  • Help maintain a strong candidate experience throughout the recruitment process.
  • Assist with company research, sourcing, and initial outreach when additional support is needed, including using LinkedIn and other tools.

  • 3–5 years of experience in talent acquisition operations or recruiting coordination, along with strong project management instincts.
  • Hands-on experience using Greenhouse at an advanced level, with direct ownership of an ATS rather than only day-to-day usage.
  • A builder-oriented mindset with the ability to improve processes, not just manage them.
  • Strong comfort with data, including the ability to pull, organize, and interpret recruiting metrics.
  • Excellent organization, consistent follow-through, and strong attention to detail.
  • Clear written and verbal communication skills, plus good judgment when working with senior stakeholders.
  • Resourcefulness and the ability to solve problems independently.
  • Comfort with ambiguity and changing priorities.
  • Ability to handle multiple workstreams at once without losing track of details.
