Job description
About Nabu Casa
Nabu Casa is the organization behind Home Assistant, a leading open-source smart home platform utilized by millions of households globally. Established to ensure the project's long-term viability, Nabu Casa partnered with the Open Home Foundation in 2024 to champion various open-source initiatives. Our core values of privacy, choice, and sustainability are fundamental to all our operations and product development.
As a self-funded entity without external investors, our revenue stems directly from user subscriptions to Home Assistant Cloud and hardware sales. This model ensures our primary focus remains on our employees and users. We are also dedicated to supporting other open-source projects, including those in hardware, standards, and voice technology.
The Role
Nabu Casa is seeking a Supply Chain Coordinator to manage the complete lifecycle of our hardware products, from manufacturing partners through to distributors and end-users. This role is crucial for maintaining the reliability of our global hardware distribution to a dedicated community.
You will be responsible for daily operations including purchase order management, manufacturer liaison, logistics coordination, distributor support, inventory oversight, and RMA processing. A key aspect of this role involves developing and documenting standardized operating procedures to ensure scalability and efficiency.
As part of our ongoing expansion, we are strengthening the Commercial team with strategic hires to support the next phase of Nabu Casa’s global operations and partner network. This position will be instrumental in scaling our international hardware operations across diverse regions and distribution channels.
We are hiring due to rapid growth and the need for dedicated ownership to manage increasing workloads. You will have significant autonomy from the outset, empowered to independently resolve issues such as shipment delays, urgent distributor needs, or stock allocation challenges.
Collaboration will be key, working closely with the Global Channel Manager, Hardware team, and Finance team, as well as directly with manufacturers, distributors, and logistics providers. You will be an integral part of the Commercial team, reporting to the VP Commercial based in Norway.
Why This Role and Why Now
- Own a Function, Not a Task List: This is an opportunity for individuals with prior logistics or supply chain coordination experience in more structured environments to take full ownership of an entire function. Success means the supply chain operates smoothly with minimal direct oversight.
- Build and Structure: As a lean organization, you will be instrumental in establishing processes and documenting Standard Operating Procedures (SOPs), shaping the function's operational framework as the company grows.
- Operational and Strategic Impact: Beyond daily management, you will analyze forecast data to inform ordering decisions and leverage modern tools, including AI-assisted workflows, for enhanced efficiency.
- AI-Powered Support: We utilize AI to augment our team's capabilities, not to replace them.
- Stable and Mission-Driven: As a profitable company funded by our community, you will contribute to a product that reaches millions of homes.
What You'll Do
- Oversee the complete supply chain for hardware products, from manufacturers to distributors across various international regions.
- Initiate and manage purchase orders with manufacturers, monitoring their progress through to final delivery.
- Engage directly with manufacturers regarding lead times, production schedules, shipment logistics, and immediate operational concerns.
- Provide essential back-office support to distributors, including order status updates and issue resolution.
- Maintain accurate inventory records and manage order flow within the NetSuite ERP system.
- Handle complexities such as partial shipments, strategic stock allocation across regions, and overall inventory balance.
- Coordinate global freight and logistics operations with third-party providers.
- Manage the end-to-end Returns Material Authorization (RMA) process, including tracking, root-cause analysis, and financial reconciliation with manufacturers.
- Analyze demand forecasts and current inventory levels to guide procurement decisions.
- Develop and maintain comprehensive Standard Operating Procedures (SOPs) and supply chain documentation.
- Proactively identify and address supply chain bottlenecks to drive continuous improvement and scalability.
- Collaborate effectively with the Hardware, Commercial, and Finance departments to ensure alignment.
What You Need To Have
- A minimum of 4 years of experience in supply chain, logistics, purchasing, or operations, with demonstrated hands-on responsibility.
- Proven experience in direct manufacturer coordination, including placing and managing purchase orders, and negotiating lead times and production schedules. Experience with Asian manufacturing partners is highly desirable.
- Proficiency in communicating with international manufacturing partners, particularly in Asia, understanding cultural nuances and professional communication styles.
- Practical knowledge of inventory management, stock allocation strategies, and handling partial deliveries.
- Experience managing international shipping and logistics.
- Familiarity with an ERP system (e.g., NetSuite, SAP, Odoo) for PO management and delivery tracking.
- A history of implementing structure, documenting processes, writing SOPs, and improving workflows, preferably in a company with established supply chain practices.
- The ability to work autonomously in a fast-paced environment with a high degree of ownership.
- An analytical approach, utilizing reporting and forecast data for informed decision-making.
- Excellent organizational, problem-solving, and communication abilities.
It Would Be Great If You Also Have
- Specific experience utilizing NetSuite.
- Background in hardware, consumer electronics, or e-commerce operations, particularly with direct manufacturer interaction.
- Familiarity with AI tools and automation in workflow processes.
- Experience supporting distributor or channel operations.
- Personal use of Home Assistant and an appreciation for open-source, community-driven products.
