Role overview
The company is looking for a highly capable, strategic, and proactive Senior Executive Assistant to support the Chief Operating Officer. This is a high-impact role that goes beyond standard administrative support and functions as a true strategic partner, helping improve organizational effectiveness, strengthen culture, and support team engagement.
The right candidate will bring strong executive presence, excellent judgment, and a high level of organization. You should be comfortable operating in a fast-moving environment, staying ahead of needs, and handling sensitive, high-stakes work with accuracy and discretion.
As the COO’s main point of contact, you will manage daily executive operations, handle complex calendars across multiple time zones, coordinate relationships with internal and external stakeholders, help shape meeting agendas tied to business growth priorities, organize town halls, support global travel, lead team events, and help mentor and train other executive assistants. This is an individual contributor position reporting directly to the COO.
Responsibilities
- Serve as the COO’s primary contact and professional representative, handling communications with tact and confidentiality.
- Maintain an executive operating rhythm that supports both organizational effectiveness and company culture.
- Build, manage, and safeguard a complex calendar with thoughtful prioritization of meetings and commitments.
- Resolve overlapping scheduling conflicts across multiple time zones and stakeholder groups on your own when needed.
- Evaluate and use AI-based tools to improve decision-making, planning, and internal efficiency.
- Coordinate international travel, speaking engagements, presentations, group events, and expense processing from start to finish.
- Act as a problem solver and facilitator to improve administrative workflows and align the leadership team.
- Prepare, edit, and polish executive correspondence, briefings, reports, and presentations with a strong eye for detail.
- Work closely with other executive assistants to provide backup coverage and smooth operational support.
- Handle logistics for in-person board and committee meetings, including setup, catering, attendance tracking, guest presenter coordination, and executive dinners.
Requirements
- Bachelor’s degree.
- At least 5 years of relevant experience supporting a C-level executive in a demanding corporate environment.
- Strong record of handling confidential business and personal information with integrity and discretion.
- Experience in a public technology or SaaS company is preferred.
- Ability to recognize, assess, and incorporate new AI tools to support executive productivity and strategy.
- Professional presence with the confidence to work with board members, investors, and senior leaders.
- Comfort working through ambiguity and making sound independent decisions in real time.
- Proactive, adaptable mindset with a focus on continuous improvement.
- Ability to prioritize a heavy workload under pressure and meet deadlines without sacrificing quality.
- Excellent verbal, written, and interpersonal communication skills.
- Strong working knowledge of Google Workspace and enterprise collaboration tools, including experience with AI-assisted productivity applications.
Compensation and benefits
Pay is determined by location, job-related skills, knowledge, and experience. For California, the stated range is $57.30 per hour to $88.83 per hour. This role is also eligible for company bonus compensation. Benefits may include paid time off and company holidays, paid parental leave of up to six months, health coverage with options that can be fully employer-paid, retirement and pension programs with possible employer contributions, learning and development support, and compassionate care leave.
Work arrangement
This is a hybrid role. The employee is expected to work from the office and remotely, with a minimum on-site requirement of 2 days per week. The in-office schedule may vary by team, but weekly office presence is expected and access to an office location is required.
Work authorization and eligibility
Applicants must already be authorized to work in the United States on a full-time, permanent basis. Visa sponsorship and immigration support are not provided for this role. Employment is also not available in Alaska, Hawaii, Maine, Mississippi, North Dakota, South Dakota, Vermont, West Virginia, or Wyoming.
