Role overview
Hey Girl Friday® is a U.S.-based executive assistant agency that connects thoughtful, efficient, and forward-thinking assistants with clients who need reliable operational support. In this role, you will serve as a Client Advocate, taking charge of everyday administrative and coordination work while building a trusted working relationship that is professional, supportive, and client-centered.
The purpose of the role is to help clients save time, simplify their operations, and support business growth by staying ahead of needs, prioritizing effectively, and expanding responsibilities over time to create more value. The position is part-time and fully remote, and it is open only to candidates based in the United States.
Core responsibilities
- Handle day-to-day administrative and operational support for assigned clients.
- Keep calendars, priorities, projects, and scheduling details organized and conflict-free.
- Maintain smooth execution of recurring tasks, follow-ups, and logistics.
- Prepare agendas, notes, and supporting materials ahead of meetings.
- Manage email and communication workflows by sorting, prioritizing, drafting, and responding in a timely manner.
- Identify process gaps and suggest practical improvements to increase efficiency.
- Coordinate multi-step tasks, multi-party meetings, and client projects with accuracy.
- Anticipate client needs, take initiative, and assume new duties without waiting to be asked.
- Communicate professionally with internal and external stakeholders while protecting confidentiality.
- Support the smooth running of assigned client operations while keeping deadlines on track.

Qualifications
- Must be located in the United States.
- At least 5 years of experience as an executive assistant or in operations.
- At least 3 years of experience working remotely.
- Availability every weekday during business hours in your own time zone.
- Ability to commit at least 20 hours per week, which is described as 4 hours per day.
- Willingness to stay with Hey Girl Friday for a minimum of 1 year.
- Strong command of Google Workspace and Microsoft 365.
- Experience using multiple project management tools.
- Professional home-office setup, including a Mac or PC with webcam and dependable devices such as a cellphone and Wi-Fi.
- Fast, stable internet connection.
- Ability to prioritize a daily workload effectively.
- Excellent written and verbal communication skills.
- Bachelor’s degree is preferred.
Performance expectations
- Calendars, meetings, and commitments are managed without conflicts or missed deadlines.
- Meeting prep materials are delivered at least 24 hours in advance.
- Recurring calendar processes are improved or automated within the first 60 days.
- Incoming emails are prioritized and handled or drafted within 24 hours.
- External communication remains professional, accurate, and nearly error-free.
- Follow-ups from meetings and projects are completed on time or early.
- At least one workflow or process improvement is introduced each quarter.
- Administrative work is completed without critical mistakes.
- Recurring operational tasks are finished on schedule every time.
- Client projects and high-priority tasks are completed on or before deadlines.
- Risks and roadblocks are identified early and resolved before they affect timelines.
- New responsibilities are taken on proactively and without prompting.
- Stakeholders are supported professionally and responded to within agreed timelines.
- Multi-party meetings and projects are coordinated without confusion or missed steps.
- Client or team satisfaction is reviewed quarterly, with improvements made as needed.
Hours and engagement terms
Your weekly schedule will depend on the client assignments you take on. Hey Girl Friday uses hourly blocks from Monday through Friday: a 5-hour commitment equals 1 hour per day, a 10-hour commitment equals 2 hours per day, and so on. You will share the number of weekly hours you want, and the agency will try to match you with that level of work.
This is an independent contractor arrangement under a 1099 structure, and selected advocates will be expected to follow the company’s guidebook, including rules on client confidentiality, agency confidentiality, exclusivity of services, and general contractor conduct. All information exchanged during the engagement is proprietary and must be kept confidential.
