Role Overview
This position supports the Operations Control & Quality Assurance team with day-to-day administrative tasks. The role focuses on document scanning, filing, retrieval, mail handling through QPost, and coordinating office supply requests through the Coupa system. It also involves receiving approved goods from vendors or stores, keeping accurate records, and providing timely support in line with QNB policies and procedures.
Key Duties
- Assist internal teams with routine administrative work by scanning, filing, and retrieving documents and data accurately when needed.
- Maintain organised physical and electronic records so information can be located quickly and reliably.
- Process internal and external mail, including collection, dispatch, tracking, follow-up, and logging through QPost where required.
- Coordinate with vendors, stores, and internal departments for the delivery and receipt of stationery and office supplies.
- Create stationery and supply requests in Coupa according to approved procedures and business needs.
- Receive deliveries of stationery and office items, check them against requests or delivery notes, and ensure proper storage or handover.
- Track inventory levels for stationery and flag replenishment needs to avoid interruptions in office support activities.
- Support cost control by reducing wastage and ensuring only approved office supplies are ordered.
- Keep working knowledge of document-handling standards, filing methods, and administrative practices up to date.
- Follow all legal, regulatory, and internal compliance requirements, including AML & CTF, sanctions, data protection, fraud control, whistleblowing, conflict of interest, and insider dealing policies.
- Operate within the Three Lines of Defence framework to help identify, assess, monitor, manage, and report risks.
- Support conduct risk expectations and contribute to good customer outcomes.
- Assist with RCSA, KRI, incident reporting, and remediation activities as relevant to operational risk management.
- Maintain the knowledge and competence needed to perform the role and complete all mandatory bank training.
Experience and Education
A bachelor’s degree is required. The bank prefers candidates with at least 1 year of experience in a similar role, along with strong integrity and a proven ability to provide logistical and administrative support, including support for events and meetings when needed.
