Job Summary

This position provides clerical and administrative assistance to the Infrastructure Services function, with emphasis on document handling, filing, record keeping, and routine office coordination. The role covers incoming and outgoing correspondence, preparation and distribution of documents, maintenance of logs and trackers, and timely submission of forms and supporting paperwork. It also involves front-desk style support for visitors and vendors where needed, including access coordination in line with security requirements, directing guests to the appropriate staff, and assisting with meeting-room and basic meeting support. All records must be kept in an organised and confidential manner in accordance with internal policies and service standards, while general administrative support is provided to Infrastructure teams as required.

Key Responsibilities

  • Serve as the first administrative contact for Infrastructure Services queries, handling walk-ins, phone calls and email requests in a professional way and directing them to the right team.
  • Arrange visitor and vendor access for Infrastructure areas when required, including registrations, approvals, access passes and escort coordination, following security procedures.
  • Receive, record and route incoming correspondence and service requests, making sure items are categorised correctly, prioritised and tracked through completion.
  • Prepare Infrastructure documents for circulation by formatting, scanning, printing, photocopying, collating and binding them, then distributing them to the relevant stakeholders.
  • Keep both electronic and physical filing systems well organised, with proper version control, retention practices and secure storage for confidential records.
  • Assist with procurement and administrative workflows by preparing supporting papers, monitoring request progress and following up on approvals such as PR/PO-related documents, delivery notes and service reports where applicable.
  • Coordinate movement of Infrastructure documents and small parcels between departments or sites using approved internal channels, while maintaining dispatch and receipt records.
  • Maintain department trackers for correspondence, requests, approval progress, attendance and visitor information, and provide status updates to supervisors when needed.
  • Support meetings and workshops by booking rooms, preparing attendee lists, managing attendance sheets, printing materials and distributing minutes as assigned.
  • Help with audit, compliance and management reporting requirements by gathering evidence, organising files and supporting document submissions.
  • Handle routine office services for the Infrastructure team, including stationery requests, printing supplies and other basic office support tasks under approved procedures.
  • Receive, sort and send internal mail and documents through authorised channels, ensuring confidential items are handled securely.
  • Deliver communications, documents and approvals to internal stakeholders and follow up when confirmation of receipt or completion is required.
  • Work with internal teams such as Administration, Procurement and Security to complete required clearances, approvals and submissions for Infrastructure-related requests.
  • Update departmental records and lists, such as contact details, distribution lists and access-related lists where these are provided by the owners, ensuring accuracy and currency.
  • Provide additional clerical and administrative assistance as needed, including copying, filing, binding, distributing papers, mail and notifications.
  • Carry out assigned duties in line with internal service level agreements, helping improve turnaround times.
  • Operate within the delegated authority assigned to the role.
  • Support cost awareness, efficiency and productivity, while minimising waste and helping the bank maximise value.

Requirements

  • Completion of higher secondary education is required.
  • Strong practical knowledge of MS Office applications, including Word, Excel, PowerPoint and Outlook.
  • Ability to manage filing systems, document control processes and trackers with accuracy.
  • At least one year of relevant experience in a similar role is preferred.
  • Demonstrated integrity and a solid record of providing administrative and logistical support, including assistance during events and meetings, is expected.
