About the Role

Residency and Work Requirements
- Candidates must reside in New Mexico.
- Office attendance and regular travel to the Gallup, NM location are mandatory.
- This is an office-centric role with a standard schedule typically running 40 or more hours per week, usually from 9 AM to 5 PM or 8 AM to 4 PM.
Key Responsibilities
- Organize and maintain comprehensive school records both in electronic and paper formats.
- Collaborate with other registrars to obtain any missing student documents.
- Ensure student files contain up-to-date and complete information as mandated by the state Department of Education.
- Process requests for records from external schools or agencies promptly within set timelines.
- Conduct periodic file reviews to verify compliance, confirming all required documentation is present.
- Reach out to school districts to acquire student information pertinent to identifying at-risk students.
- Maintain confidential and sensitive communication with parents and handle all interactions tactfully.
- Prepare files and run monthly audits, including Federal Income Forms and monitoring of at-risk indicators.
- Generate weekly withdrawal reports and update all relevant systems accurately.
- Ensure school adheres to confidentiality standards under the Family Educational Rights and Privacy Act (FERPA).
Qualifications and Skills
- Minimum of a high school diploma or equivalent.
- At least one year of related work experience or an equivalent mix of education and experience.
- Must be able to successfully complete required background checks.
- Strong organizational abilities with experience in systematic filing and record management.
- Effective team collaboration skills and professionalism in office settings.
- Proficient verbal and written communication capabilities.
- Experience with web-based educational databases to enter and manage student information.
- Ability to multitask effectively and efficiently.
- Familiarity with Microsoft Outlook, Word, and Excel.
Preferred Qualifications
- Associate degree in a relevant field.
- Two or more years’ experience in a similar role.
Compensation and Benefits
The expected salary range for this position is $15.00 to $17.00 per hour, with eligibility for bonuses based on individual and organizational factors. The final offer will consider education, experience, job location, and benefits elections.
