Job description

Key Responsibilities

  • Issue purchase orders and monitor their progress to ensure timely fulfillment.
  • Place orders for raw materials, components, and services aligned with production demands and approved specifications.
  • Conduct timely follow-ups with suppliers according to project timelines, both pre and post delivery.
  • Ensure material deliveries are punctual to prevent production disruptions.

Vendor Coordination and Development

  • Maintain clear and effective communication with suppliers regarding order progress, lead times, and quality standards.
  • Evaluate the performance of vendors and maintain a comprehensive vendor database.
  • Assist in initiatives for vendor development and the approval process for new suppliers.

Documentation and Record Management

  • Prepare and keep purchase orders, contracts, and all procurement-related documentation organized.
  • Collaborate with store and accounts teams for Goods Receipt Note (GRN), invoice verification, and payment processing.
  • Accurately record all procurement activities in the ERP system such as SAP or Oracle.

Cost and Inventory Control Support

  • Monitor material usage and stock levels in cooperation with store and production teams.
  • Propose cost-saving measures and assist in inventory optimization efforts.

Compliance and Reporting

  • Ensure compliance with company policies, quality benchmarks, and statutory regulations.
  • Generate regular procurement reports covering order status, pending deliveries, and expenses.
  • Support both internal and external procurement-related audits.

Continuous Improvement

  • Identify areas to enhance procurement processes, reduce lead times, and improve vendor management.
  • Participate in lean, Kaizen, and other continuous improvement programs within procurement.
