Role Overview

The Production Coordinator plays an essential role in supporting daily production and operational processes within the label environment. As an entry-level position, this role acts as a vital link connecting multiple stakeholders such as internal departments, artist teams, external vendors, manufacturers, and distribution partners to ensure smooth project progression from planning stages through final delivery. The ideal candidate is detail-focused, organized, thrives under fast-paced conditions, and possesses a passion for music and entertainment operations.

Key Responsibilities

  • Manage the production executive's complex calendar effectively, organizing meetings, prioritizing tasks, and handling scheduling conflicts.
  • Arrange both internal and external meetings including preparing agendas, booking spaces, and distributing necessary materials.
  • Act as the main administrative contact for scheduling and requests on behalf of the Production executive.
  • Coordinate domestic and international travel logistics, prepare itineraries, and manage expense documentation.
  • Monitor department deadlines, production milestones, and deliverables to keep projects on track.
  • Keep detailed and accurate records of production schedules, trackers, calendars, and departmental documents.
  • Facilitate communication among cross-functional teams to advance project completion.
  • Prepare presentations, reports, and notes for meetings and other administrative functions.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Anticipate requirements, address challenges proactively, and support team members across various projects.

Qualifications and Skills

  • Minimum two years experience in a similar production coordination role.
  • Exceptional attention to detail with strong organizational and multitasking capabilities.
  • Ability to flourish in a high-pressure, fast-moving workplace.
  • A highly driven mindset with enthusiasm for collaborative work environments.
  • Well-developed critical thinking and problem-solving aptitude.
  • Excellent communication skills with proven ability to cultivate professional relationships.
  • Maintains a high level of confidentiality.
  • Proficient to advanced expertise in the Microsoft Office suite, especially Excel.

Additional Information and Legal Notices
