Job description

Role overview

This position provides administrative support across the employee journey so hiring and onboarding run smoothly and in line with legal and company requirements. The associate helps with job requisitions, pre-employment steps, recordkeeping, and HR system support, while also handling reporting, candidate and manager questions, and general support for the People & Culture and Recruitment teams.

What you will do

  • Oversee job postings, requisition updates, and recruitment system administration while keeping candidate progress documented accurately and on time.
  • Coordinate the full pre-employment and onboarding flow, including background checks, drug screens, offer paperwork, and new hire documents.
  • Maintain records for candidates, contractors, and employees, ensuring alignment with federal and state rules as well as company policies, including I-9 and work authorization documentation.
  • Use HRIS tools, including Workday, and recruiting systems to build reports, maintain tracking tools, and preserve data accuracy and confidentiality.
  • Handle shared inboxes and ServiceNow requests, prepare employment verification and unemployment documents, send surveys, and support process improvements.
  • Act as a contact point for candidates and hiring managers.
  • Assist with ongoing People & Culture and Recruitment projects and initiatives.
  • Take on other ad hoc duties assigned by management.

What is expected

  • A bachelor’s degree is preferred, or equivalent relevant work experience.
  • At least 2 years of varied administrative experience.
  • Strong proficiency in Microsoft Office, especially Word, Excel, and PowerPoint.
  • Prior exposure to HRIS and applicant tracking systems is preferred.
  • Excellent planning, communication, and time-management abilities.
  • Strong attention to detail and the ability to handle sensitive information discreetly.
  • Comfort working across multiple priorities in a fast-moving environment.

Compensation and benefits

The hourly pay range for this role is $16.10 to $29.90, with final compensation based on experience, skills, internal equity, and business needs.
