Working alongside Creative Executives, Music Supervisors, and Music Production teams, this person helps with music searches, script analysis, and pitch preparation, while keeping daily library systems and music files organized and current. The job calls for precision, quick response times, and consistency in following established processes.
Creative and Production Support
- Organize music submissions, help prepare creative pitches, and research options using both current and historical music trends.
- Review scripts and revisions to spot music placements, identify cue information, and note on-camera performances or production changes.
- Support creative teams by collecting and tracking music-related materials needed during production and post-production.
- Keep industry contact databases current to support outreach and sourcing efforts.
Music Library, Metadata, and Asset Management
- Handle day-to-day upkeep of the department’s music library systems, including DISCO, by uploading tracks, applying metadata, and arranging files according to department standards.
- Support the intake, digitization, cataloging, and archiving of Warner Bros.-owned recordings, scores, and work-for-hire assets, ensuring all files and metadata are accurate and complete.
- Create sharing links, manage access permissions, convert file formats when needed, and coordinate delivery of music materials to shows and internal teams.
Operational Coordination
- Collect schedules, assets, episodic scores, and related materials from music supervisors, editors, composers, and production/post-production teams.
- Help reconcile cue details and other music documentation when requested.
- Work with internal stakeholders to make sure music materials are delivered clearly, securely, and on time.
- Identify missing, inconsistent, or incorrect information and raise it to the creative team for resolution.
Department Support
- Prepare presentation decks and reference materials for music searches and other creative initiatives.
- Open, review, and route incoming submissions and materials.
- Provide backup support to teammates and assist with special projects as needed.
- Carry out additional administrative and departmental duties assigned by management.
Experience and Education
This role requires 1 to 3 years of experience in the music industry. A high school diploma or equivalent is required, while a college degree is preferred.
Skills and Knowledge
Candidates should understand music genres, styles, and the basics of music synchronization. Familiarity with music library and asset management platforms such as DISCO is important, along with strong proficiency in Microsoft Office tools including Word, Excel, Outlook, and PowerPoint.
Knowledge of digital delivery systems such as Box, FTP, and other cloud-based platforms is expected. Experience with MP3 tools and streaming services is useful, while DAWs and editing software are preferred. The role also benefits from proficiency with social media platforms, familiarity with tools like Pro Tools, Final Cut Pro, Logic Pro, MainStage, iTunes, GarageBand, iMovie, Photoshop, and other multimedia applications, plus awareness of AI tools such as Copilot or similar products.
Additional Requirements
- Ability to manage several projects at once and prioritize work in a fast-moving, high-volume environment with strict deadlines.
- Strong attention to detail, follow-through, and a proactive self-starter approach.
- Excellent organization skills and the ability to communicate clearly, tactfully, and professionally in both written and spoken formats.
- Comfort handling confidential information with discretion.
- Willingness to collaborate closely with the music team and other departments.
- Flexible, positive, and solution-oriented mindset.
