Overview
This role is responsible for the overall management and maintenance of the engineering store in accordance with established Standard Operating Procedures (SOPs). The position ensures adherence to all relevant policies and standards, including EHS, GMP, and QFS. The supervisor will monitor stock levels, manage re-ordering processes, and oversee stock movement, providing timely reports to maintenance managers. Daily updates of store transactions in the inventory system are crucial, along with creating codes for new items in collaboration with relevant departments. The role involves checking inventory processes, identifying and implementing corrective actions, and liaising with procurement, suppliers, and finance teams to manage the acquisition of maintenance-related materials and services. Coordination with customs clearance for shipments and tracking of stored operating supplies are also key responsibilities. The supervisor will identify and address slow-moving or obsolete items and ensure strict compliance with COSO/SOX requirements. This position also manages administrative tasks such as timesheets, procedure implementation, software usage, safety inspections, and OHS policies, while maintaining communication with the direct manager and peers. Decision-making authority extends to parts ordering based on re-order levels and the implementation of food and industrial safety standards.
Responsibilities
- Maintain the engineering store according to established Standard Operating Procedures (SOPs).
- Ensure the consistent implementation of all applicable policies and standards, including EHS, GMP, and QFS.
- Monitor inventory levels and initiate re-orders when stock reaches predefined re-ordering points, in coordination with maintenance managers.
- Closely track stock movements and submit regular reports to maintenance managers.
- Ensure all store transactions are accurately updated in the store inventory system on a daily basis.
- Generate codes for new inventory items in collaboration with maintenance managers and the IT department.
- Oversee the execution and results of monthly and yearly inventory counts, identifying and implementing necessary corrective actions.
- Act as a liaison with procurement, local and international suppliers, and the finance team to manage the procurement of materials and services for maintenance needs.
- Coordinate with the customs clearance team to facilitate the smooth clearance of shipments for the SP and Maintenance functions.
- Track all stored operating supplies and materials, providing detailed reports to the heads of concerned departments.
- Identify slow-moving and obsolete inventory items and collaborate with maintenance managers and the Finance Department to take appropriate action.
- Ensure strict adherence to COSO/SOX requirements within the store operations.
- Understand and fulfill the engineering store requirements essential for supporting business operations.
- Manage administrative duties, including timesheets, adherence to procedures, effective use of maintenance software, conducting safety inspections, and upholding OHS policies.
- Communicate and follow up with the purchasing department regarding quotations and material delivery to maintain stock levels within specified limits.
- Implement, sustain, and actively participate in the continuous improvement of the OH&S Management System, ensuring proper controls for all hazards and risks and achieving OH&S targets.
- Engage in daily communication with the Direct Manager and peers.
- Make informed decisions regarding parts ordering based on established re-order levels.
- Make decisions concerning the implementation of Food and industrial safety standards.
Requirements
- Ability to effectively coordinate interactions between various departments.
- Demonstrated experience in warehouse, inventory, and spare parts management.
- Proficiency in using SAP software.
