Overview

Under the daily direction and supervision of the Charge/Resource RN, this role coordinates all patient care activities. The position is responsible for transcribing physician orders and managing all activities related to their completion. The role also involves communicating information to various levels within the organization.

Responsibilities

  • Prioritize and manage daily activities effectively.
  • Support colleagues by sharing pertinent information and notifying the appropriate RN or department of urgent orders.
  • Coordinate communication during emergency situations, such as codes.
  • Understand and apply protocol requirements for laboratory tests, radiology procedures, and operating room sequences, serving as a resource for staff.
  • Accurately transcribe physician orders into the computer system, Kardex, or manually on requisition forms.
  • Schedule patient appointments for special tests and procedures with relevant departments, relaying necessary information.
  • Maintain patient medical records by accurately dating and recording TPR sheets, documenting intake and output, managing chart organization (stocking and thinning), preparing intake and output sheets, and organizing discharge records.
  • Coordinate all documentation required for interdepartmental transfers and discharges to external facilities.
  • Verify the completeness of pre-operative charts, including consent forms and tests, and report any missing information to the RN.
  • Update charts for patients awaiting surgery or diagnostic tests.
  • Order necessary unit supplies from Central Service, office suppliers, or stockrooms.
  • Maintain and communicate an accurate census count for the unit.
  • Assist with data collection, quality assurance, and statistical tracking of unit activities, maintaining designated logbooks.
  • Enter appropriate patient charges.
  • Meet performance expectations for customer service, teamwork, resource utilization, and professional development as outlined in performance reviews.
  • Perform additional duties as assigned to ensure the smooth operation of the department or unit.
  • Assist the Patient Manager or Charge Nurse with staffing by making necessary telephone calls.
  • Schedule both inpatient and outpatient procedures.
  • Conduct on-site registration for inpatient, observation, and outpatient procedures, accurately collecting demographic, billing, and clinical information for LDRP and newborn admissions.
  • Inquire about applicable MSP questions for Medicare beneficiaries.
  • Effectively transfer and discharge patients as directed.
  • Monitor the length of stay for observation patients and report to Care Management those nearing 24 hours.
  • Complete designated annual competencies for HUC and Registration functions within the established timeframe.
  • Review all email registration updates and training materials, implementing learned practices.

Qualifications

Education

  • High School Diploma or equivalent required.

Experience

  • Previous experience as a HUC, Medical Secretary, or Registrar is preferred.
  • Proficiency in computer use, understanding of medical terminology, customer service experience, and a basic knowledge of anatomy, physiology, and medications are necessary.

Special Skills

  • Strong computer skills and excellent communication abilities are essential.
