Job description

Role overview

This position is responsible for coordinating the daily flow of fuel imports and storage at depots, along with oversight of food items for restaurants and equipment used by the business. The role also requires close tracking of inventory levels and stock losses across all plants and depots.

Key duties

  • Manage inventory activities and support asset control at the warehouse.
  • Track fuel import landed cost against pricing and share recommendations with management.
  • Raise purchase orders for fuel, additives, ethanol, and local purchases.
  • Enter goods receipts for fuel products in SAP.
  • Monitor depot fuel inventories and suggest nomination levels as needed.
  • Prepare monthly reports covering stock levels and stock losses at depots.
  • Draft the monthly stock loss presentation and circulate it three days before the meeting.
  • Share meeting minutes with all attendees within five days after the meeting.
  • Explain inventory gains and losses that fall outside the tolerances defined in the Material Balance Procedures.
  • Collect inventory movement information from depots, review unusual entries, and produce variance reports.
  • Work with Customs, brokers, Finance, and other stakeholders to ensure cargo is cleared quickly and demurrage is avoided.
  • Support month-end and year-end inventory counts at plants and depots.
  • Coordinate loan and borrow arrangements with storage partners when required, including the related documents and SAP entries.
  • Carry out site visits to fuel depots to verify inventory and investigate abnormalities.
  • Prepare and submit the monthly report to the Ministry of Energy.
  • Reconcile warehouse assets so that internal reporting remains accurate across SAP and the 3PL environment.
  • Update prices on a weekly basis using the published information.
  • Update temperature records across all plants.
  • Provide invoicing details to Customer Service for contractual depot services such as storage and throughput.
  • Maintain AEO certification through inspections, training at LSC and KWL, and related reporting on visits.
  • Perform any other duties assigned from time to time.

Working context

The role involves managing response times from local Logistics and Customs teams, applying Incoterms correctly, and handling possible logistics constraints.

Qualifications and experience

A bachelor’s degree in Operations Management, Logistics Management, or Chemical Engineering is required, along with at least three years of experience in inventory management or a similar field. The role also calls for advanced Excel and Word skills, strong interpersonal and communication abilities, and practical knowledge of information systems such as SAP or comparable tools.
