Role Overview

The Front Office Ambassador acts as the initial welcoming representative for visitors, clients, and employees, offering a professional and hospitable experience that exemplifies ARADA's brand ethos. This role oversees front desk duties, visitor management, administrative tasks, coordination of meeting rooms, and ensures the reception area is managed efficiently with high standards of hospitality.

Main Responsibilities

  • Greet and assist all visitors, clients, candidates, and suppliers with professionalism and courtesy.
  • Handle visitor registrations while enforcing security and access control guidelines.
  • Provide precise details about the organization, facilities, and meeting schedules.
  • Deliver an exceptional customer service experience reflecting ARADA's hospitality standards.
  • Manage incoming calls by answering, screening, and redirecting them promptly and professionally.
  • Ensure continuous reception desk coverage during business hours.
  • Process incoming and outgoing mail, courier packages, and deliveries.
  • Maintain accurate visitor logs and reception documentation.
  • Arrange and prepare meeting rooms ahead of appointments and support internal event coordination including refreshments and visitor arrangements.
  • Collaborate with internal teams to facilitate seamless visitor experiences.
  • Keep reception and meeting areas neat, presentable, and fully operational.
  • Provide administrative support including document preparation, filing, scanning, and maintaining records.
  • Assist with procurement of office and pantry supplies and coordinate with vendors as necessary.
  • Manage employee onboarding logistics and visitor access arrangements.
  • Maintain cleanliness and order in reception and waiting areas.
  • Monitor and replenish office supplies and update company brochures and marketing materials.
  • Adhere to company policies concerning security, confidentiality, health, and safety.
  • Promptly report operational issues or visitor-related concerns.
  • Ensure compliance with visitor management and reception procedures.

Qualifications and Experience

  • Bachelor's Degree or Diploma in Business Administration, Hospitality, Tourism, or related disciplines.
  • Additional certification in Customer Service or Hospitality is beneficial.
  • 2 to 5 years of experience in front office, reception, customer service, hospitality, or corporate administrative roles.
  • Preference for candidates with background in corporate offices, hospitality sectors, real estate development, or luxury customer service environments.
