Key Responsibilities
- Diligently follow up with vendors to ensure materials are delivered to the plant or site punctually.
- Create purchase orders following department head approval processes.
- Verify materials and invoices against delivery challans and purchase orders for accuracy.
- Liaise with the accounts department to facilitate timely payments to vendors as per agreed terms.
- Prepare and update purchase order pending reports and MIS reports on a weekly and monthly basis.
- Arrange transportation for the dispatch and collection of materials as needed.
- Reconcile purchase orders and confirm all materials received meet specified criteria.
- Maintain organized records of all purchase-related documents including indents, purchase orders, inquiries, quotations, deviation reports, and inspection reports.
- Identify and develop alternative sources and substitute items when necessary to meet requirements.
- Ensure a continuous supply of appropriate materials in the right quality, quantity, price, and timing.
- Keep records of all goods receipt notes, purchase orders, issue slips, incoming and outgoing challans.
- Monitor and document any deficiencies or damages, communicating these to suppliers and senior management accordingly.
- Track and manage material wastage and maintain optimal inventory levels to support smooth operations.
