Overview

The Contract Administrator is responsible for managing contract workflows and credentialing of service providers across all departments. They ensure proper documentation, approvals, and organization within contract and credentialing systems while facilitating compliance and efficiency within contract management processes.

Key Responsibilities

  • Design and execute efficient contract approval workflows.
  • Maintain a well-organized database containing contracts, approvals, and supporting documents with accurate data entries.
  • Notify stakeholders timely about contract expirations and renewals and escalate issues as needed.
  • Create regular and customized contract reports to monitor timelines and terms.
  • Collaborate with finance to validate contract budgets before finalizing agreements.
  • Support maintenance and usability of contract templates and draft agreements using these templates.
  • Develop standard operating procedures and training to promote adherence to contracting processes.
  • Communicate with vendors to obtain required documents and status updates.
  • Manage service provider credentialing, including overseeing deficiencies and coordinating approval or rejection.
  • Assist in reviewing and updating credentialing standards and coordinate Credentialing Committee meetings.
  • Implement and sustain software solutions for credentialing submissions and tracking.
  • Provide additional administrative and project support tasks as required.
  • Deliver excellent customer service to patients, colleagues, and partners.

Required Qualifications and Skills

  • Minimum two years of progressively responsible experience in a fast-paced environment.
  • Bachelor’s degree preferred.
  • Background in healthcare industry is advantageous.
  • Deep understanding of contract management functions.
  • Strategic thinker capable of integrating systems and operational workflows.
  • Strong organizational ability and keen attention to detail.
  • Proficient in managing multiple priorities and adapting in dynamic settings.
  • Excellent written and oral communication including stakeholder engagement.
  • Ability to work independently with minimal supervision.
  • Proficiency in Microsoft Office and capability to learn new software platforms; familiarity with Smartsheet is a plus.
  • Commitment to respecting patient rights, maintaining HIPAA compliance and confidentiality.

Physical Requirements

Typical office-based physical activity such as sitting, standing, walking, reaching, talking, and hearing. Occasionally may require climbing, balancing, stooping, kneeling, crouching, and lifting up to 30 pounds. Visual abilities needed include close vision, distance vision, color and peripheral vision, depth perception, and focus adjustment.

Work Environment

This fully remote role may require occasional travel to various practice sites in different states. The noise level is consistent with an office environment.
