Role overview
The Parts Coordinator is responsible for delivering a positive customer experience while managing the full parts workflow for each repair order. This includes ordering, receiving, storing, distributing, and returning parts, along with checking that every item is accurate, complete, and available on time to match the production plan and vehicle requirements.
Key responsibilities
- Follow the organization’s WOW operating approach consistently.
- Relay customer requests and requirements to the right team members.
- Coordinate with vendors to order and receive all required parts listed on repair orders, while confirming correct quality, quantity, and fit.
- Make sure parts are delivered to the shop on schedule to support production timelines.
- Record all parts invoices in the designated management information system.
- Tag and monitor parts using the repair order number, and store them with the vehicle or planned repair; also communicate any parts price increases to the relevant team.
- Order and receive supplemental parts in the system, track vendor performance for parts, materials, and sublet work, and complete daily reconciliation of the parts vendor invoice history report.
- Ensure invoices and credit notes are entered, posted, and archived promptly.
- Confirm vendor invoices reflect the agreed discount so profit margins are protected.
- Carry out any other duties assigned by management.
Experience and education
Candidates should have a high school diploma or an equivalent qualification, along with 1 to 3+ years of experience handling automotive parts; experience with auto body parts is an added advantage. The role suits someone who is customer-focused, organized, able to stay calm under pressure, and comfortable managing competing priorities. I-CAR registration is required, and progress toward Gold Class certification is preferred.
Skills and abilities
This job calls for strong verbal and written communication, close attention to detail, fast-paced multitasking, and practical knowledge of vehicle repair processes. The candidate should also be comfortable using systems such as Summit and Repair Centre, working with Mitchell and Audatex, sourcing parts through platforms like Car-part, Progi, APU, and LKQ B2B, and solving problems effectively. Good computer literacy, planning skills, teamwork, and the ability to succeed in a high-pressure environment are also important.
Physical requirements
