Role Summary

Kroll is expanding in the Middle East and is looking for a highly organised, detail-focused Bids & Portals Coordinator to support client onboarding, supplier registration, procurement portal administration, and proposal activity across the UAE and the broader region.

This position will serve as the main coordination hub between client-facing teams and internal functions such as finance, legal, compliance, operations, IT security, HR, and procurement contacts to make sure registrations are complete, approvals are in place, and Kroll is able to bid, invoice, and transact smoothly with clients.

The role is commercially important and contributes to faster onboarding, fewer delays, better client experience, and stronger revenue conversion across the region.

Client Procurement Portal Management

  • Handle supplier registrations on client procurement systems across the UAE and wider Middle East.
  • Keep portal profiles current with accurate company data, service categories, bank details, tax details, and contact information.
  • Coordinate directly with client procurement teams across the Middle East as a primary contact.
  • Track portal alerts, renewal tasks, compliance forms, and document expiry dates.
  • Solve issues related to access, permissions, account activation, password resets, and workflow errors.
  • Maintain a single tracker covering active, pending, expired, and at-risk registrations.
  • Support procurement portal activity in line with regional commercial goals, growth plans, and operational priorities.
  • Create and update standard procedures for portal administration in the Middle East.
  • Work with the global bid team on best practices and development for bid and portal processes.
  • Stay up to date on procurement rules, compliance obligations, and changing portal standards in the UAE and Middle East.
  • Partner with Legal, Compliance, Finance, Tax, HR, IT Security, and other teams to collect and maintain required corporate documents.
  • Coordinate with internal teams to complete new supplier onboarding requests.
  • Contribute to process improvements that make vendor onboarding, tracking, and portal administration more efficient.

RFP and Proposal Support

  • Manage strategic RFP responses end to end across service lines, including regular check-ins and kickoff meetings.
  • Review RFP requirements, summarise them, define the workflow, and assign responsibilities to subject matter experts.
  • Collect CVs, credentials, and legal comments to match response requirements.
  • Work with the global bid management team to apply strong practices for portal management, supplier onboarding, and RFP coordination in the Middle East.
  • Prepare complete, compliant, and persuasive proposal submissions.

Experience Required

  • At least 2-4+ years of experience in procurement operations, vendor registration, supplier onboarding, bid support, sales operations, finance operations, or commercial administration.
  • Background with large corporate, government, semi-government, or professional services clients in the UAE, KSA, or the Middle East.
  • Practical experience using procurement or supplier portals such as SAP Ariba, Etimad, Coupa, Oracle iSupplier, Jaggaer, Tejari, SAP Fieldglass, or similar tools.
  • Solid understanding of vendor onboarding requirements, compliance documentation, and procurement workflows.
  • Experience in professional services, consulting, financial advisory, risk advisory, legal, accounting, or a multinational environment is an advantage.

Skills and Attributes

  • Strong eye for detail and disciplined document handling.
  • Highly organised and able to juggle multiple portals, deadlines, and stakeholders.
  • Clear written and spoken communication skills.
  • Comfortable interacting with senior internal stakeholders and external procurement teams.
  • Persistent, professional problem-solving approach.
  • Able to manage confidential company information carefully.
  • Strong proficiency in Excel, SharePoint, and Microsoft Office.
  • Capable of bringing structure to a role with multiple systems, changing deadlines, and varied client requirements.
  • Understanding of UAE business documents, licensing, VAT, and compliance requirements.

Preferred Qualification

  • A bachelor's degree in business administration, commerce, finance, procurement, operations, or a related discipline is preferred.
  • Certification in procurement, supply chain, project management, or business operations would be beneficial but is not mandatory.
  • Experience with RFPs, public sector registrations, or UAE government procurement platforms would be a strong plus.

Additional Information

The role involves willingness to travel between Kroll's Abu Dhabi and Dubai offices.
