Role summary
Kroll is expanding in the Middle East and is looking for a highly organised and detail-focused Bids & Portals Coordinator to support client onboarding, supplier registrations, procurement portal administration and RFP/proposal activity across the region, with emphasis on the UAE and KSA.
This role serves as the main coordinator across client-facing teams, procurement contacts and internal functions such as finance, legal, compliance and operations to ensure the business stays correctly registered, approved and able to respond to RFPs, receive purchase orders, submit invoices and remain in good standing with important clients.
The position is commercially significant because it helps reduce onboarding delays, improves client experience and supports revenue conversion across the region.
Client procurement portal management
- Oversee supplier registrations on client procurement systems across the UAE and the wider Middle East.
- Keep client portal profiles accurate and current, including company details, service categories, bank details, tax data and contact information.
- Serve as a key liaison between Kroll and client procurement teams throughout the region.
- Track portal alerts, renewal actions, compliance questionnaires and document expiry timelines.
- Resolve issues related to portal access, user rights, account activation, password resets and workflow blocks.
- Maintain a central log of all active, pending, expired and at-risk portal registrations.
- Ensure portal administration and onboarding activity support regional commercial goals, growth priorities and operational needs.
- Create and maintain standard procedures for procurement portal administration in the Middle East.
- Work with the global bid management team on improvements to bid practices and professional development initiatives.
- Keep up to date with procurement rules, compliance obligations and changing portal standards across the UAE and wider Middle East.
- Coordinate with Legal, Compliance, Finance, Tax, HR, IT Security and other internal teams to gather and maintain current corporate records required by client procurement teams.
- Work with internal stakeholders to complete new supplier onboarding requests from clients.
- Contribute to process improvement efforts that make vendor onboarding, registration tracking and portal administration more efficient.
RFP and proposal support
- Manage strategic RFP responses end to end across service lines, including recurring check-ins and kickoff calls.
- Review and condense requirements, define the workflow and align responsibilities with subject matter experts.
- Collect CVs, credentials and legal input in line with RFP instructions.
- Partner with the global bid management team to apply best practices for procurement portal management, supplier onboarding and RFP coordination across the Middle East.
- Prepare and complete high-quality, compliant and persuasive responses.
Experience and background
The role calls for 2 to 4+ years of experience in procurement operations, vendor registration, supplier onboarding, bid support, sales operations, finance operations or commercial administration.
Experience with large corporate, government, semi-government or professional services clients in the UAE, KSA or the wider Middle East is expected.
Practical exposure to procurement or supplier portals such as SAP Ariba, Etimad, Coupa, Oracle iSupplier, Jaggaer, Tejari, SAP Fieldglass or similar systems is important.
A solid understanding of vendor onboarding requirements, compliance documentation and procurement workflows is needed.
Background in professional services, consulting, financial advisory, risk advisory, legal, accounting or a multinational organisation would be an advantage.

- Knowledge of UAE business documentation, licensing, VAT and compliance requirements.
Preferred education
A bachelor's degree in business administration, commerce, finance, procurement, operations or a related discipline is preferred. Certification in procurement, supply chain, project management or business operations would be useful but is not mandatory.
