Role overview

This position sits within the Sports Business Unit’s Governance & Stakeholder Management function and plays a key part in keeping governance data, reporting, and stakeholder records accurate, structured, and up to date. The role connects governance frameworks, data handling, and stakeholder reporting to support effective decision-making and accountability.

It is an analytical, operations-focused role for someone who enjoys bringing structure, discipline, and process improvement to a fast-moving project environment. The successful candidate will support the Director and team leads in strengthening transparency and delivery across major sports assets such as the National Tennis Centre, Athletics Stadium, and Elite Combat Institute as the organisation progresses toward Vision 2030 milestones.

Governance data and reporting

  • Keep governance registers current and improve them over time, including action trackers, decision logs, approval matrices, and stakeholder engagement records.
  • Prepare recurring and on-demand governance reports for internal bodies such as the Project Control Group (PCG), N-1 Subcommittee, Stage Gate Review Panel (SGRP), and Development Committee.
  • Bring together information from several project workstreams, review it for quality and consistency, and turn it into clear reporting packs aligned with approved governance standards.
  • Monitor and report on delegation of authority usage, approval flow progress, and implementation of items after approval against governance milestones.

Stakeholder engagement systems and reporting

  • Own the upkeep of the Sports BU Stakeholder Engagement Management System (SEMS), ensuring engagement activity, commitments, and outcomes are recorded correctly and promptly.
  • Create stakeholder dashboards and summary reports that help the team track engagement progress against commitments and KPIs, including interactions with federations such as FIFA, AFC, and IOC, as well as government partners.
  • Help design and refine templates, workflows, and reporting tools that make stakeholder tracking easier and more efficient across the team.
  • Work with colleagues handling stakeholder engagement on the ground to collect updates and convert them into structured, reportable information.

Tools, systems, and process improvement

  • Manage and enhance governance tools built on SharePoint and the Power Platform, including list setup, form creation, and automated workflows that support reporting.
  • Find ways to reduce manual work in data collection and reporting by using Microsoft 365 tools such as Excel, Power BI, SharePoint, and Teams more effectively.
  • Prepare committee packs, presentations, and briefing documents using information from multiple internal sources while making sure materials are accurate and ready on time.
  • Maintain strong version control and disciplined document management across governance repositories.

Team support and coordination

  • Assist the Director and team leads with executive-level governance outputs, including stage gate submissions, delegation of authority proposals, and committee briefs.
  • Coordinate inputs across functions for governance submissions, working with project teams, commercial advisors, and delivery partners where needed.
  • Update and circulate action and decision logs after governance meetings, follow up on responsibilities, and escalate overdue items when required.

Qualifications and experience

The role calls for a bachelor’s degree in Business Administration, Project Management, Information Management, or a closely related field, along with 8 to 10 years of experience in governance, PMO, project controls, or reporting. Experience in large infrastructure, real estate, or sports development settings is preferred.

Strong capability in Microsoft Excel is essential, including pivot tables, dashboards, and complex formulas, together with advanced PowerPoint skills. Working knowledge of Power BI or a similar visualisation tool is also needed. Candidates should have experience building or managing SharePoint-based document management or reporting systems and should be comfortable handling multiple data sources while meeting deadlines.

Excellent English writing skills are important, as the role requires turning complex information into concise governance outputs. Familiarity with delegation of authority models, stage gate reviews, or similar project approval processes is also expected.

Preferred background

Added value will come from experience in a giga-project or megaproject environment in Saudi Arabia, particularly one linked to Vision 2030 delivery. Knowledge of stakeholder engagement platforms or CRM-style systems used in project governance is also beneficial. Experience with Power Automate or Power Apps, as well as a project management certification such as PMP, PRINCE2, or an equivalent credential, would be an advantage.
