Role Summary
The Assistant Manager / Manager of Governance plays a key enabling role within the Sports Business Unit's Governance and Stakeholder Management team. Positioned at the crossroads of governance frameworks, data oversight, and stakeholder reporting, this role ensures the accuracy and integrity of governance data systems, delivers high-quality reports, and supports stakeholder engagement through structured, timely information.
This position is operational and analytical, ideal for a governance specialist who excels at introducing rigour and systems thinking in dynamic project settings. The successful candidate will assist the Director and team leaders to promote transparency and accountability for the Sports Business Unit's major projects — including the National Tennis Centre, Athletics Stadium, and Elite Combat Institute — while supporting the realization of Vision 2030 milestones.
Key Responsibilities
- Continuously maintain and enhance governance data registers such as action logs, decision trackers, approval matrices, and records of stakeholder engagement.
- Generate periodic governance reports (weekly, monthly, and ad hoc) for internal committees like the Project Control Group, N-1 Subcommittee, Stage Gate Review Panel, and Development Committee.
- Aggregate and validate data from various project streams to create cohesive, accurate reporting packages in line with approved governance frameworks.
- Monitor and report on delegation of authority usage, status of approval pipelines, and track post-approval progress in relation to governance benchmarks.
- Manage the Sports BU Stakeholder Engagement Management System, ensuring all engagements, commitments, and results are accurately logged and up to date.
- Create stakeholder reporting dashboards that track engagement progress versus KPIs, including interactions with federations (FIFA, AFC, IOC) and government agencies.
- Assist in refining data capture templates, workflows, and reporting instruments to optimize tracking and reporting of stakeholder activities.
- Collaborate with team members responsible for frontline engagement to convert field inputs into organized, reportable data.
- Administer and develop governance tools on SharePoint and Power Platform, including list maintenance, form creation, and workflow automation to support the team's reporting demands.
- Identify opportunities and implement improvements to minimize manual data collection and reporting efforts using Microsoft 365 applications like Excel, Power BI, SharePoint, and Teams.
- Prepare and manage governance forum presentations, briefing documents, and consolidated data packs ensuring preciseness and timeliness.
- Uphold version control and document management standards across governance repositories.
- Assist the Director and leaders with executive-level governance deliverables such as stage gate documentation, delegation proposals, and committee briefings.
- Coordinate necessary cross-functional inputs involving project teams, commercial consultants, and delivery partners to meet governance submission requirements.
- Maintain and circulate action and decision registers following governance meetings, monitor accountability, and escalate overdue tasks.
Required Qualifications & Skills
- Bachelor's degree in Business Administration, Project Management, Information Management, or related fields.
- Between 8 to 10 years of experience in governance, PMO, project controls, or reporting roles within large-scale infrastructure, real estate, or sports development sectors.
- High proficiency in Microsoft Excel (pivot tables, dashboard creation, complex formulas) and PowerPoint; working knowledge of Power BI or equivalent visualization tools.
- Experience in administrating or developing SharePoint-based documentation or reporting platforms.
- Exceptional attention to detail with the capacity to juggle multiple data sources and deliver accurate reports under deadlines.
- Strong written communication skills in English to simplify complex details into clear governance materials.
- Familiarity with delegation of authority structures and stage gate or comparable project approval processes.
Preferred Qualifications & Skills
- Experience working on giga-projects, megaprojects, or projects aligned with Saudi Arabia’s Vision 2030.
- Knowledge of stakeholder engagement or CRM systems used within project governance contexts.
- Experience using Power Automate or Power Apps for automating workflows.
- Professional certifications in project management such as PMP or PRINCE2.
