Job description

Overview

This role supports day-to-day school administration in Stuttgart, Baden-Württemberg, Germany. The position is responsible for keeping student, staff, and property records accurate, helping with registration and scheduling, and ensuring routine office processes run smoothly in a school environment.

Key duties

  • Handle a range of administrative tasks connected to student registration, attendance tracking, academic record upkeep, tuition status, and similar school processes.
  • Prepare and hand out family registration packets, including the student schedule, handbook, rules, health record form, and any other required paperwork.
  • Update student files by entering grades, attendance details, tuition data, and transfer information into the system.
  • Draft reports for school leaders and other staff as needed.
  • Act as the property custodian by keeping ongoing inventories of non-expendable property and maintaining records for durable school supplies and items.
  • Spot equipment that needs repair or servicing.
  • Log supply movements in an automated system and file supporting documents properly so both electronic and paper audit records are complete.
  • Keep the school calendar current and arrange appointments for staff members.
  • Maintain staff timekeeping records, including attendance and leave.

Conditions of employment

  • Employees hired from the Continental United States and their U.S.-citizen family members must obtain official passports before travel overseas.
  • The work can be partly seated, but it also involves regular walking, bending, standing, lifting or carrying items up to 40 pounds, lifting boxes above shoulder height up to 40 pounds, and loading or unloading vehicles; equipment is available for heavier items.

  • Eligible groups include current competitive service DoWEA civilian employees, current DoW civilian employees, domestic defense industrial base workforce members, overseas family member and preference categories, interagency career transition candidates, land management workforce flexibility candidates, military spouse preference candidates, certain transfer and priority placement program candidates, and VEOA-eligible veterans.

Qualification requirements

Applicants must qualify through experience and/or education as described in the notice. For GS-06, the requirement is one year of specialized experience that includes using automated systems to prepare reports, tracking and ordering supplies, and maintaining an office calendar. The experience should reflect work similar to the GS-05 level in federal service. Education cannot be substituted for the required experience for this grade, and any recent federal GS employee must also meet the time-in-grade rule of 52 weeks at GS-05 or equivalent.

  • Status candidates who are overseas and subject to the five-year rotation rule must have enough time remaining to complete the initial tour; waivers may not be granted to satisfy this limit.
  • Applicants in the fourth year of an overseas assignment cannot be selected unless a waiver to the five-year overseas service limit is approved.
  • Eligibility for foreign area benefits for selectees hired outside the U.S. will be determined at hire.
  • Host-nation laws or international agreements may affect a same-sex spouse or domestic partner’s ability to accompany the employee and receive benefits.
  • The initial overseas tour length is 36 months.
  • This position is not covered by a bargaining unit.

  • Applicants with family members who have special medical needs should confirm that required care can be obtained overseas before accepting the job.
  • Medical and dental care for employees and family members may need to be obtained and paid for privately if military facilities are unavailable or not accessible on a space-available basis.
  • Host-nation medical and dental providers may be the primary source of care, and the level of care can vary by location.
  • If an eligible child accompanies an employee overseas and qualifies for a DoWEA school placement on a space-required basis, appropriate special education and related services will be provided in accordance with applicable DoD guidance.

Family member appointment terms

  • Family member appointments end according to the sponsor’s rotation date.
  • Such appointments may not extend beyond two months after the person is no longer considered a family member in the local commuting area due to PCS, divorce, or, for a child, reaching age 23.
  • Family member preference applies only when the family member physically resides with the sponsor.
