Job description
Role overview
This position is based in North London and follows a full-time weekday schedule, Monday to Friday, from 8:00 AM to 4:35 PM. It is part of a respected British heritage organisation with a long history of supporting important national institutions, public-sector organisations, and overseas clients. The workplace is built around professionalism, accuracy, and strong standards in both administrative and operational delivery.
The team works across several national contracts and internal departments, handling documentation, scheduling, correspondence, and workflow coordination. This makes the role well suited to someone who enjoys structured, detail-led, and varied administrative work.
What you'll be doing
In this role, you will support everyday operations by keeping administrative processes organised and running efficiently. You will work with senior team members on record-keeping, document preparation, and a range of routine as well as project-related administrative duties. Although previous experience is useful, the organisation is primarily looking for someone who is organised, dependable, proactive, and careful with detail. Full training will be provided on internal systems and processes, and there is potential to progress into a more senior administrative, operational, or coordination position over time.
Administrative and documentation support
You will help maintain orderly records, prepare and update documents, spreadsheets, and reports, and keep digital filing systems current and easy to use. You may also assist with routine reporting tasks such as summaries, logs, and checklists.
Team and operational coordination
The role involves supporting internal teams by collecting information, preparing materials, and helping with regular tasks. You will monitor open actions, deadlines, and milestones, coordinate with colleagues across departments, and assist in creating agendas, notes, and other meeting materials.
Office and general administration
You will manage inboxes, phone calls, and everyday correspondence where needed. The job also includes diary coordination, arranging meetings, helping keep office processes and shared resources organised, and providing general support to senior operations and management staff.
Data and systems management
Another important part of the role is entering, updating, and checking information in spreadsheets, logs, and internal platforms. You will contribute to quality control by ensuring details remain consistent and accurate, and you may be required to maintain reference numbers, codes, and other internal identifiers.
What the organisation is looking for
The ideal candidate will have some background in administration, office support, data handling, or similar structured work. Strong accuracy, excellent organisation, and the ability to juggle multiple priorities at once are essential. You should be comfortable using Microsoft Office, especially Excel, along with shared drives and digital filing tools. Clear written and spoken communication is important, as is the ability to work both independently and as part of a small, fast-moving team. Discretion is also necessary when dealing with sensitive or confidential information.
What is offered
The organisation provides structured onboarding and full training on internal systems and administrative workflows. There are clear opportunities to move into more senior administrative or operations-focused positions. You will also receive 25 days of annual leave plus bank holidays, and be part of a collaborative, supportive, and professional environment.
Additional information
This opportunity is with an organisation trusted by high-profile national institutions and offers long-term potential for the right person.
